What we want
The Executive Search Specialist II is responsible for executing the Executive Recruiting Program activities, which include recommending and implementing standards for best practices and assisting with building out strategies for improvements. Coordinates all the administrative functions of setting up the executive search, sourcing and vetting candidates as needed, arranges, participates in interviews, and initiates onboarding of selected candidates. The Executive Search Specialist advises search committees on issues, rules, policies, and standard administrative procedures related to executive level positions. Builds and maintains relationships with clients, hiring managers and job candidates.

Qualifications
Required Education and Experience
+ Bachelor’s degree from an accredited University or College.
+ Three years of related work experience.
Preferred Qualifications
+ Master’s degree
+ Experience of sourcing candidates (market mapping, outreach, engagement with passive candidates)
+ Experience working with high-level faculty and administrators in a fast-paced environment where attention to detail and confidentiality are extremely important.
+ Experience in coordinating meetings (rooms, catering, etc.).
+ HR/business experience.
+ Experience with web conferencing, video conferencing, and shared calendar systems.
+ TAMU experience with knowledge of TAMU rules, and processes relating to HR/Payroll and related systems.
Knowledge, Skills, and Abilities
+ Working knowledge of spreadsheet and word processing programs.
+ Strong interpersonal and communication skills.
+ Strong organizational and project management skills.
+ Ability to deal with sensitive information in a confidential manner.
+ Ability to analyze data and written materials to make decisions independently.

Responsibilities
Project Management and Implementation
+ Provides advice and recommendations for project management and implementation of processes on behalf of stakeholders and search advisory committees.
+ Exercises discretion to provide economical and efficient logistical support including but not limited to; travel arrangements, room reservations, catering and other direct search related expenses.
+ Collaborates with Texas A&M University Leadership and Marketing and Communications to streamline all communication for delivery to all required stakeholder groups.
+ Schedules search committee meetings, reviews search timelines and communicates the needs of the search committee with the search chair.
+ Develops search timelines, drafts, and provides communications for search chairs.
+ Provides timely and accurate search updates to Texas A&M University Leadership.
+ Conducts sourcing and ‘headhunting’ activities including market mapping to identify suitable target candidate, outreach and engagement messaging to those prospective candidates, initial vetting of interested candidates.
+ Directs scheduling of interviews, books room, travel, and hotel reservations, develops itineraries, orders food for events, and other duties as needed.
+ Handles sensitive and confidential data with integrity.
+ Provides direction and partners with Marketing and Communications to create content for the maintenance of executive searches website.
+ Creates executive administrator leadership profiles, liaisons with and coordinates with search firm agreements and approvals with Contract Administration.
+ Advises search committee on the development of interview questions and faculty feedback surveys to align with themes in the search leadership profile.
+ Trains volunteers and other junior staff and student workers.
Strategic Development of Texas A&M University Executive Searches
+ Develops and manages innovative concierge level solutions for executive level positions at Texas A&M University.
+ Point of contact for executive search functions across campus.
+ Provides input to updates to university rules and Standard Administrative Procedures (SAPs) regarding executive search matters
+ Subject matter expert and resource for the search advisory committee and other stakeholders on hiring policies and standard administrative procedures in the hiring of VP and Dean level and above positions.
+ Responds to inquiries and issues from stakeholder groups regarding executive searches.
+ Develops and maintains relationships with stakeholders to further the Executive Searches brand.
+ Supports, researches, conducts initiative development, and implements search projects. This includes collaborating with other key stakeholders across campus and university leadership to assure timely, accurate and appropriate preparation and execution.
Fiscal Support
+ Manages processing of financial transactions and oversees purchasing activities related to executive searches including submissions of Departmental Cover Sheets, Pay Vendor Invoice forms, and other relevant forms of expenses.
+ Analyzes expenses and proposes cost saving solutions that further enhance efficiency related to executive searches
