Consumer Insight, Measurement & Analytics (CIMA) is part of the Marketing center of excellence for Disney Parks, Experiences and Consumer Products. CIMA influences decision making with integrated, objective, and actionable insights. Within CIMA, the Marketing Analytics & Insights (MAI) team provides objective assessments of WDPR marketing to inform strategy, understand performance, optimize investment, and maximize business impact. The Advanced Analytics & Optimization (AAO) team develops innovative analytic solutions, providing a consistent, disciplined analytic methodology that delivers systematic performance evaluation.
The Executive Secretary for CIMA will provide essential administrative support to the directors of Marketing Analytics & Insights (MAI) and Advanced Analytics & Optimization (AAO). With a proactive mindset, resourceful approach, and flexible attitude, you will play a key role in ensuring our leaders have the tools and support needed to drive our missions forward. Your keen attention to detail, exceptional organizational skills, and problem-solving abilities will help maintain consistency across the organization while contributing to the magic of Disney and bringing our team’s vision to life.
The Executive Secretary for CIMA will report to the Director of Marketing Analytics & Insights and sits in Celebration, FL.
Responsibilities:
Provide comprehensive administrative support for two executives and additional team members as needed.
Maintain confidentiality and discretion in handling sensitive business information.
Serve as a central point of contact, prioritizing and relaying key communications.
Manage complex calendars, scheduling meetings and coordinating logistics.
Arrange domestic and international travel, ensuring smooth itineraries and minimal disruptions.
Prepare, submit, and track expense reports in a timely manner.
Ensure compliance with company policies and resolve discrepancies.
Liaise with senior management, stakeholders, and external partners.
Prioritize and manage tasks, projects, and assignments to ensure efficiency.
Contribute ideas for continuous improvement in administrative processes.
Utilize productivity tools (e.g., Microsoft Office, scheduling software) to enhance efficiency.
Demonstrate professionalism, flexibility, and adaptability in a fast-paced environment.
Basic Qualifications:
3+ years of office or equivalent experience providing executive support to Directors or higher in a corporate environment.
Proven ability to manage complex executive logistics, including calendar coordination, resolving scheduling conflicts, preparing agendas, organizing travel (domestic and international), and preparing detailed itineraries.
Strong written and verbal communication skills, with experience facilitating effective cross-team communication, managing sensitive information with discretion, and preparing polished executive materials.
Advanced proficiency with tools such as Outlook, Microsoft Office Suite (Excel, Word, PowerPoint), Teams, SAP, Workday, Concur, and preferred experience with Coupa, with the ability to quickly adapt to new software and systems.
Exceptional organizational skills, with a proven ability to prioritize tasks, meet deadlines, and efficiently manage multiple initiatives, including tracking and communicating progress.
Demonstrated expertise in administrative tasks such as processing Purchase Orders and invoices, ordering office supplies, and addressing maintenance requests.
A proactive, solution-focused, and service-oriented approach to supporting executives and fostering team collaboration and engagement.
Experience in coordinating events and meetings, onboarding new team members, and promoting a collaborative and engaged team environment.
Proven track record of handling confidential information, exercising sound judgment, and maintaining a high level of discretion.
High level of attention to detail, with the ability to manage urgent requests and ad-hoc tasks with minimal supervision.
Preferred Qualifications:
Proven knowledge of Disney Parks, Experiences, and Consumer Products, including relevant policies and procedures, with experience supporting executives at The Walt Disney Company or similar large organizations.
Ability to cultivate and maintain relationships with executives, peers, and cross-functional teams.
Familiarity with Teams, SharePoint, OneDrive, and Microsoft CoPilot.
Required Education:
Associate’s Degree or equivalent work experience.
Preferred Education:
Bachelor’s Degree in Business Administration, Organizational Leadership, Communications, or related fields.
