The Executive Secretary generally supports executives of the organization with responsibility for a major organizational function or with responsibilities that include system-wide oversight. The individual will compose correspondence requiring some understanding of technical matters and may sign for executive when technical or policy content has been authorized. The Executive Secretary will note commitments made by executive during meetings and arranges for staff implementation, will establish appointment priorities and review outgoing correspondence for the executive’s approval. The individual will review incoming materials, complete preliminary research when necessary and in the executive’s absence, ensures requests for action or information is relayed to appropriate staff members in a timely manner or determines whether the executive should be notified of important/emergency matters.
JOB QUALIFICATIONS
EDUCATION
Education qualifications must be from a school whose accreditation is recognized by Marshfield Clinic Health System.
Minimum Required: One of the following:
High school diploma or equivalent and seven years of progressive experience in an administrative office setting.Associate degree in an administrative assistant or related field and four years of progressive experience in an administrative office setting.Bachelor’s degree in business administration or related field and 2 years in an administrative office setting.Preferred/Optional: Associate degree in secretarial science or related field.
EXPERIENCE
Minimum Required: Demonstrated proficiency with the Microsoft Office Suite. Demonstrated proficiency with verbal, non-verbal and written communication skills including grammar, punctuation and spelling.
Preferred/Optional: Experience as an Executive Secretary within a healthcare setting. Experience working with Microsoft Outlook calendars, Microsoft PowerPoint and Adobe.
