Executive Secretary

With its main campus at Loyola University Medical Center, Loyola Medicine is part of a comprehensive three-hospital system including Loyola University Medical Center (https://www.loyolamedicine.org/location/lumc) , Gottlieb Memorial Hospital (https://www.loyolamedicine.org/location/gmh) , and MacNeal Hospital (https://www.loyolamedicine.org/location/macneal-hospital) .   If you’re passionate about delivering exceptional care and making a difference in the lives of our communities, join the Loyola team as an Executive Secretary and become Loyola Strong!      **What** **you’ll** **do:**    + Oversee the onboarding of new physician and APN's which includes organizing recruitment packet, CART application and monitoring status of credentialing + Attend meetings, transcribe meeting minutes, and distributethem as necessary. + Perform administrative and secretarial duties, with a focus on attention to detail, independent decision-making and prioritization, under the direction of the administrator. + Manage leaders calendar by scheduling meetings, arranging appointments, and interviews + Process faculty affiliate appointments at Hines VA, Gottlieb Memorial Hospital and MacNeal Hospital + Ensures department expenses are charged appropriately. Prepares check requisitions, and expense reports. Tracks monthly departmental and philanthropic expenses. + Orders office supplies and arranges for maintenance of equipment and facilities + Guides faculty through the promotion process + Other duties as assigned **Skills and Qualifications:** + **Education:** A high school diploma or equivalent is required; a bachelor’s degree in Business Administration or a related field is preferred. + **Experience:** Proven experience as an executive secretary, administrative assistant, or similar role. + **Technical Skills:** Proficiency in Microsoft office software (word, excel, powerpoint, teams, peoplesoft, Interfolio) + **Communication:** Excellent written and verbal communication skills. Ability to compose correspondences (letters and memos) + **Organizational Skills:** Strong organizational skills and the ability to multitask in a fast-paced environment. + **Attention to Detail:** High attention to detail and accuracy in all aspects of work. + **Discretion and Confidentiality:** Ability to handle sensitive information with discretion. **Shift:**  7:30 AM - 4:00 PM **We offer our Executive Secretaries** **: **   + Benefits from Day One   + DailyPay!
