Executive Secretary / Executive Administrative Assistant

We are currently seeking an Executive Assistant to support PEO(A) at the Patuxent River, MD Program Office. The ideal candidate will provide high-level administrative support by conducting research, preparing statistical reports, handling information requests, and performing clerical functions such as preparing correspondence, receiving visitors, arranging conference calls, and scheduling meetings. Experience using the Defense Travel System (DTS). The Executive Assistant will provide administrative support to the PEO(A) staff and executive leadership, including the PEO and Deputy Program Executive Officer (DPEO).  The Executive Assistant will regularly interact with senior leadership, external stakeholders, and various OEM’s.  The Executive Assistant is a high visibility position within the PEO that is fast-paced and demands a high degree of professionalism, polish, and the ability to be the face of the organization

Duties:

Providing administrative assistance, such as writing and editing e-mails, drafting memos, and preparing communications. Maintain and coordinate calendars and meetings on behalf of the PEO/DPEO. Coordinate/schedule/facilitate/attend Level 0 meetings as required. High level of experience with scheduling and coordinating meetings. Ability to adapt and prioritize in a dynamic environment. Coordinate and Distribute briefs and files for various meetings as required by the PEO/DPEO. Coordinating travel (DTS experience required). Program Office Documentation. Expertise with Navy correspondence and Document support (routing, distribution, retrieval, research). Research instructions, directives, lessons learned, etc. Experience handling sensitive information Strategic Planning. Meeting Minutes/Action Items. Whiteboard sessions (strategies, plans). Verify clearances and access within JPAS and BASICS (Backup responsibility). Coordinate visit certifications requests, with various agencies. High level of proficiency in Microsoft Programs to include Teams, Outlook, and Word, and familiarity with Excel and PowerPoint. Excellent written and verbal communications skills. Strong organizational skills and ability to multitask. Strong interpersonal skills. Typical hours are 0800-1600, Monday – Friday (minor flexibility around those hours)

 Required Education: 

BA/BS degree. ALLOWABLE SUBSTITUTION: Associate’s Degree plus 4 years’ additional work experience; OR 6 years’ additional work experience may be substituted for a Bachelor’s Degree

 

Required Experience:

3 to 10 years of combined experience performing duties described in the functional description with at least 2 of those years demonstrating experience using the Defense Travel System (DTS).

 

Desired Experience:

 At least 2 years of experience supporting a NAVAIR Program Executive Office or Program Office.

Must be able to obtain and maintain a Secret security clearance. Due to the sensitivity of customer related requirements, U.S. Citizenship is required.

Compensation at Precise Systems is determined by various factors, including education, experience, skills, competencies, and contract-specific requirements. The salary range for this position is $50,824.32 to $81,318.91 (annualized USD). This range represents the standard pay for this role and is just one component of Precise Systems’ total compensation package.
