A new unit within the Stanford Doerr School of Sustainability has been established to utilize knowledge and education to inform and motivate the global population to engage with the sustainability challenges facing our planet and its population. This unit is called External Education & Mobilization (EE&M). This unit includes multiple distinct initiatives including external education, a new sustainability publication and a global student olympiad or challenge.
The unit seeks a full-time business manager with proven skills in planning, budgeting, project management, administrative support and human resources. This is an opportunity to be a key member of a team that represents the principal externally facing unit generating impact though the dissemination of knowledge and education for the School. This role supports management to ensure all operations, administration and compliance functions within EE&M are properly executed.
The business manager will work closely with the leadership team for the unit to provide solutions and recommendations on policy and procedures to improve efficiency and practice within EE&M. The person will also interact with numerous other internal and external stakeholders. The business manager will report to the Associate Dean.
**Your Responsibilities will include:**
+ Developing and maintaining the unit’s budget. The budget will be developed in consultation with the unit’s leadership team working with relevant Doerr School Dean’s Office units and other Stanford offices on budgeting procedures.
+ Create, manage and maintain multiple profit and loss statements for the department including accounting for and allocating both expenses and revenue
+ Support the development, implementation and communication of the EE&M strategy through periodic analytical projects and help in developing presentation materials.
+ Manage EE&M HR-related activities for staffing and the performance appraisal processes and corresponding documentation, providing key support for onboarding, recruitment logistics, and tracking.
+ In consultation leadership, manage the hiring process and its workflow, including drafting job postings for leadership review that comply with Stanford human-resources policy; overseeing and executing communication with job applicants throughout the hiring process; assisting leadership in reviewing applicants; and working with necessary offices at the Doerr School and elsewhere at Stanford to execute hiring documentation and to assist with onboarding new hires. Engage with the SDSS HR team and payroll departments as it relates to staffing and hiring new employees.
+ On behalf of the EE&M, manages staffing matters such as contractors, visa administration, global staff, etc.
+ Engage with entities on matters related to facilities, space inventory, and capital equipment tracking. Serve as point of contact for general maintenance, health and safety and other facility matters, report any incident or potential safety problems.
+ Organize and participate in the planning of staff activities such as team building and morale development events.
+ Implement solutions, such as online forms and develop new standard operating processes to maximize efficiency and execution in unit HR and financial processes.
+ Oversee and/or perform duties associated with scheduling, organizing, and operating complex meetings, conferences, seminars, and events, including arranging with vendors for services, overseeing the production and distribution of materials, administering logistics, and managing events within budget.
+ Support the leadership team through select administrative services including complex multi-party scheduling, travel planning, financial reimbursements and meeting support for advisory councils and external partners.
+ Implementing, executing and overseeing project management across a variety of projects within the Unit, including designing, building, and managing an efficient and effective system for project-management that will be used by leadership and staff.
+ May lead staff or supervise day-to-day work of student and/or temporary workers, including scheduling, assigning, and prioritizing workloads, setting appropriate deadlines, reviewing work for quality and timeliness, and providing performance review input

**To be successful in this position, you will need:**
**Education & Experience:**
Bachelor’s degree and three years of relevant experience, or combination of education and relevant experience.
**Knowledge, Skills and Abilities:**

+ Demonstrated ability to take initiative and ownership of projects.
+ Ability to communicate effectively both orally and in writing.

+ Ability to direct the work of others, for jobs requiring supervision.
**In addition, preferred qualifications include:**
+ Experience in a senior administrative role of a growing organization and demonstrated ability to succeed in such a role.
+ Knowledge of Stanford University systems and policies
+ Comfort with the change inherent in building a new enterprise.
+ Experience with project management, including project-management software
+ Experience with hiring processes
+ Experience conceptualizing, designing, and drafting slide presentations

The expected pay range for this position is $99,015 to $126,383 per annum.
