Job Title: F&B AP/Systems Specialist

Job Status: Year Round Full Time

Compensation and Benefits:

Compensation: Proposed hiring rate of $2,115.38 to $2,276.92+ biweekly amount, actual pay will be adjusted based on experience.

Job Summary:

The F&B Accounts Payable/Inventory Systems Specialist is responsible for the data entry and data validation, user security management and user training for F&B inventory procurement, management, costing and payment solutions. The specialist is responsible for ensuring complete, accurate, and on-time payment of all invoices for the F&B division. The administrator compiles the monthly financial cost of sale spreadsheet to be reviewed by F&B managers and sent to accounting. The specialist will work with the F&B Director, F&B Assistant Director, F&B managers/chefs, and Finance/Accounting teams.   

Essential Duties and Responsibilities:

F&B Inventory Procurement and Payments:  

Ensures the accuracy of invoices and inputs all F&B invoices into the payment management software for prompt and on-time payment to vendors. 

Ensures all invoices have proper approval prior to submittal for payment. 

Alongside the Assistant F&B Director, encourages purchasing that aligns with resort Partnerships and informs F&B staff of pricing changes 

Reviews statements and works with F&B managers, vendors, and accounting to resolve any discrepancies. The specialist is Copper Mountain’s primary Accounts Payable representative for F&B vendors and must maintain a good professional relationship with key suppliers.  

Processes all transfers of product between F&B Outlets in inventory management system 

F&B Inventory Maintenance:

Administers the F&B Inventory management software to include Item Maintenance and User Access 

Creates/maintains policies and procedures regarding use of the software. 

Provides end user training for inventory software as well as inventory day support 

Ensures the accuracy of inventory on hand. This is done by: 

Ensuring the accuracy of invoice entry and inventory transfers  

Managing the month-end F&B inventory count and reporting as entered by the individual outlet managers 

Setting month end deadlines for timely entry and reporting  

F&B End of Month Procedures:

Prepares Month End Financial Sheet via entry of purchases, sales revenues, month ending inventory #’s, transfers between F&B outlets and outlet waste. 

Communicates with F&B outlet managers and chefs on cost of sale numbers and works with F&B Management to find reasons for any variances to budget 

Communicating and reviewing cost of sales and other financial data at month-end with F&B Management and accounting. Providing an accurate end of month financial sheet to accounting by established deadlines. 

Store all related documents, such as invoices, inventory records, and the final cost of sales sheet, in an organized manner for future reference or audits.

Basic Requirements:

Must have the ability to use touch-typing skills and have the ability to lift up to a 50-lb. box and carry 50 yards.  

Must be able to visually review written documents and observe applicants on a regular basis.  

Intermediate to advanced skiing ability is helpful in this role 

Must be at least 18 years old 

Preferred Experience and Special Skills:

Attention to detail, and an ability to enter data with minimal errors.  

Previous financial or accounting experience preferred 

Strong analytical skills with the ability to interpret financial data 

A strong understanding of Resort and Food & Beverage operations 

Familiarity with cost control practices within the Food and Beverage industry 

Proficiency in accounting software and Microsoft Office, particularly Excel. 

Ability to meet changing deadlines 

Solid computer skills and the technical ability to quickly learn, use and troubleshoot new and resort specific software. 

Strong customer service skills 

Proficient in oral and written communication skills. Is comfortable in speaking to large groups of people.  

Strong interpersonal skills. Able to interact effectively with individuals at all levels of the organization.
