About the Department
 

The Biological Sciences Division – Facilities Services (BSD-FS) office provides support for University’s medical, research, and education missions. We are responsible for managing approximately 2 million gross feet of space located on the University of Chicago’s Hyde Park campus. We serve many community members including but not limited to: research and non-research faculty, principal investigators, laboratory staff, residents, hospital staff, undergraduate students and post-doctoral scholars. BSD-FS consists of the following major functional areas of responsibility: 1) Planning, Design and Construction, 2) Project Management Services, 3) Building Management, 4) Space Management, 5) Capital Planning, 6) Lease Management, 7) Architectural Services, 8) Signage, and 9) Furniture.


Job Summary
 

The Senior Building Manager supports the achievement of BSD’s scientific and educational goals through effective delivery of infrastructure and building management services across BSD’s campus buildings (KCBD, Knapp, BSLC, Greenhouse, GCIS West, Kovler, Cummings/MRS, Hull Court, and medical center complex). The Senior Building Manager directly manages the efforts of other BSD building managers and directly manages a subset of BSD campus buildings in the capacity as a building manager. The Senior Building Manager has frequent contact with research staff, faculty, department administrators, other University departments, vendors, construction contractors and regulatory organizations. The Senior Building Manager must be able to communicate with all levels of personnel in an accurate and concise manner as demanded by the situation. The Senior Building Manager may be required to work non-standard work hours in support of facility activities. These activities may include major utility shutdowns, start-up of significant building systems and emergency situations. The Sr Building Manager will be required to not only implement existing programs/policies, but to develop and implement new and improved policies to better fit the mission of the Division.

Responsibilities

Directly manage/oversee duties of BSD Building Managers.

Recommend/develop proactive strategies for continued process improvements and efficient resource utilization.

Create strategic planning documents using excel and PowerPoint that outline multiyear capital spending in associated buildings.

Coordination and reduction of major shared equipment service contracts/replacement/upkeep.

May act as Building Manager in other BSD facilities in the absence of staff or other departmental need.

Develop long-term strategic and short-term operating plans for the buildings in conjunction with the Executive Director of BSD Facilities, BSD Finance, and BSD leadership.

Coordinate and manage service contracts with vendors, including but not limited to custodial services, rugs, growth chambers, cold rooms, autoclaves, etc.

Work with University Facilities Services, UCM Physical Plant, and other departments to coordinate effective completion tasks and department wide initiatives.

Regularly communicates with building occupants and leadership of any known or impeding service disruptions, projects, or related activities, etc than may impact daily research activity and coordinate work accordingly.

Coordinates effective delivery of custodial services, routinely monitors the completion and the quality of services.

Routinely monitors environmental conditions and verifies proper operation of building systems and equipment.

The responsibility of maintaining the research environment for investigators during renovations and coordinating contractor activities to minimize negative impacts on research.

Day-to-day contact and oversight of renovations and building projects.

Performs work as project manager for alterations and repairs as assigned.

Manages and maintains building security.

Coordinates University and Divisional safety and environmental compliance programs in buildings.

Enforces policies and procedures to ensure the safety of all students, staff and faculty members.

Reports violations of access policies and infractions of University/Divisional/Departmental security policies.

Develops facilities maintenance policies and procedures. Plans renovation and other facilities-related projects, including ensuring projects are completed on time and within budget. Receives requests for facilities services and supervises delivery of appropriate services.

Monitors inspections of buildings, equipment and/or surrounding grounds for deficiencies and potential safety, health, or code problems. Reviews and authorizes written reports summarizing findings and recommends solutions.

Manages movement of equipment and materials, maintains building security, and maintains information on building blue prints, space utilization data and equipment.

Plans with staff from other units and reviews the work of contractors as well as facilities union and/or non-union staff.

Performs other related work as needed.


Minimum Qualifications
 

Education:

Minimum requirements include a college or university degree in related field.

Minimum requirements include knowledge and skills developed through 7+ years of work experience in a related job discipline.

Preferred Qualifications

Education:

Bachelor’s degree in Business Administration, Engineering, Operations Management or similar degree.

Advanced job-related education or designation programs, such as BOMI Institute, strongly preferred.

Experience:

7+ years of facilities-related experience strongly preferred.

Ability to organize and manage staff.

The position requires extensive knowledge of infrastructure systems, building controls, monitoring systems and applicable City of Chicago codes, industry standards and occupant needs.

Able to categorize and prioritize work activities.

Able to develop and implement solutions to varied problems.

Complete numerous activities in a multi-task environment.

Effectively communicate in both written and verbal format.

Able to use a personal computer and standard software packages.

Able to maintain confidentiality.

Able to inspect facilities, including mechanical, electrical and plumbing systems.

Working Conditions

Able to climb stairs/ladders and orient body to complete inspections.

Able to lift up to 50 pounds and move small items (boxes, cylinders, etc).
