Facilities and Operations Coordinator

As a Facility Coordinator, you will report directly to the Facilities Manager and follow established procedures and guidelines to provide clerical support. You will respond to, or redirect, routine inquiries from external or internal sources about PPG, its activities, or processes so callers/visitors are answered promptly.

Key Responsibilities

Maintenance support

Purchases maintenance, security, janitorial and customer services and materials through Visa, Online, Phone, and ePro.Issue, tracking, and closing work orders.Management of the MicroMain CMMS system including contact for issues, builds new PM’s & task lists and verify and update the account codes. Track and schedule vehicle maintenance on PPG company vehicles.

Administrative

Maintain and report information on varied facilities statistics: utilities, event reports, project spend, vacation info, and cost savings information.Review Maintenance timesheets for accuracy every week, finalizing timesheets before month end accounting report is run. To include the necessary data collection and analysis to ensure accurate completion of labor distribution for month-end closing. Update GS2 Report by providing utility/fuel usage information to EHS manager monthlyUpdates required EH&S documentation.Manage space planning and track all employee desk locations and changes.Assist Facility Manager with the management of the site’s security contract. Track preventive maintenance of larger assets (chillers, boilers, etc.)

Financial

Reconcile purchases, ensures charges are supported and accurate.  To include reconciliation of corporate purchase card and blanket purchase orders. Submit utility invoices for processing, ensure invoices are processed and paid.  Record in utility tracker spreadsheet.Track spending on purchase orders and capital expenditures to sufficiently communicate cost to accrue consistent with monthly closing processes.Run reports and review open purchase orders to provide updates at bi-weekly Facilities Admin Meeting

Qualifications 

High school diploma or GED.Associates degree or (3-5) years’ experience.Computer experience is necessary
