Facilities Assistant
Description We are on the lookout for a dedicated Facilities Assistant to join our team in the Research and Development industry, located in Philadelphia, Pennsylvania. As a Facilities Assistant, you will be tasked with overseeing our facility's operations, managing client projects, and ensuring client needs are met. This role offers a short-term contract employment opportunity. Responsibilities: • Manage the daily operations of our facility, ensuring a smooth and efficient workplace • Supervise and provide guidance to Client Service Representatives • Manage and execute client projects, ensuring deliverables are met on time and to a high standard • Maintain regular communication with supervisors and project managers • Oversee the handling of digital files, including uploading and supervising • Ensure accurate financial paperwork and compensation for participants • Manage shipping, package inventory, and product counts as needed • Compile and send reports on a regular basis • Handle office supply ordering and inventory management • Communicate with other markets when necessary and provide regular updates to project managers and off-site clients • Utilize knowledge of computers, audio visual, and office equipment in daily tasks • Apply project management skills in overseeing client projects and daily operations • Utilize knowledge of shipping carriers’ procedures for managing shipping and inventory • Demonstrate strong time management and organizational skills in managing multiple tasks and meeting deadlines • Lead and manage a staff, fostering a team-oriented environment • Solve problems creatively and effectively • Communicate effectively in both oral and written form • Utilize 'CMMS', 'Computerized Maintenance Management', 'Concur', 'IBM AS/400', 'Kronos Timekeeping System', 'About Time', 'Budget Processes', 'Communication', 'Conference Rooms' skills effectively in daily tasks and responsibilities. Requirements • Proven experience as a Facilities Assistant or relevant role • Proficiency in CMMS and Computerized Maintenance Management • Familiarity with financial and facilities management principles • Proficient in Concur, IBM AS/400, Kronos Timekeeping System, and About Time • In-depth understanding of office management procedures and departmental and legal policies • Familiarity with Budget Processes and financial management • Excellent verbal and written communication skills • Proven ability to manage and lead staff • Experience in planning maintenance operations • Solid understanding of technical aspects of plumbing, carpentry, electrical systems etc. • Working knowledge of facilities machines and equipment • Ability to use all necessary office equipment, faxes, copiers, telephones, and computers • Experience with coordinating and managing conference rooms • Strong critical thinking and problem-solving skills • Excellent organizational and leadership skills • High school diploma or equivalent; Degree from a vocational school or a Bachelors' degree in business administration or facility management will be an advantage Please contact Nicole Allman at 215.568.4580 about this opportunity and reference Job #03720-0013101612 Robert Half is the world’s first and largest specialized talent solutions firm that connects highly qualified job seekers to opportunities at great companies.
