JLL Facilities Coordinators provide general FM services including continuous monitoring of facility. Handle routine facility management operations, including: procurement of property supplies and services, invoicing, customer satisfaction to client, agencies and visitors and processing of accounts payable and accounts receivable. 

 

Job Summary 

A Facilities Coordinator manages day-to-day operations, including work orders, building access, vendor management, and problem-solving for various services. They handle financial tasks, maintain supplies, support events, prepare workstations, and oversee facility maintenance. The role requires strong communication skills, emergency response participation, and security system administration. 

Job Responsibilities 

Assist with building access cards/IDs 

Oversee and complete work orders, dispatching requests to technical staff or vendors 

Resolve issues related to building services, including janitorial, conference rooms, workstations, and furnishings 

Process invoices, assist with budgetary requests, analysis, and reporting 

Manage inventory, ordering, and stocking of office and pantry supplies 

Support meetings and events, coordinating catering, setup, and cleanup 

Prepare workstations for new employees and help manage office moves 

Monitor facilities and schedule housekeeping duties 

Participate in emergency response situations 

Communicate effectively with clients, agencies, visitors, vendors, and service providers 

Assist Facility Management Team with tactical planning and project management 

Manage small facility management tasks as assigned 

Assist with scheduling and coordinating maintenance activities 

Ensure appropriate follow-up with customers and minimize disruption during work execution 

Ensuring Exceptional Service 

Support programs, processes and procedures that reduce short- and long-term operating costs and increase productivity 

Support KPI performance targets, monitor SLA's to identify potential challenges and implement corrective actions/best practices accordingly 

Qualifications 

GED or High school diploma required 

Bachelor's degree preferred 

2+ years' experience in facility or property administration or equivalent experience 

Excellent communication skills (written, verbal, and interpersonal) 

Superior customer service orientation 

Ability to maintain professionalism under stressful situations 

Strong organizational and time management skills 

Ability to plan, manage work, and multitask under time constraints 

Capable of working without direct supervision 

Collaborative work style 

Proficient in MS Office, especially Excel 

Computer proficiency in CMMS/Work Order systems or other software (e.g., ERPs, SaaS) 

Data analysis skills 

 

Estimated total compensation for this position:

56,000.00 – 70,000.00 USD per year

The total compensation range is an estimate and not guaranteed. An employment offer is based on an applicant's education, experience, skills, abilities, geographic location, internal equity and alignment with market data .
