ResponsibilitiesAs the Facilities Coordinator with Hines, you play a critical role in facilities operations by ensuring spaces are well maintained and meet the needs of occupants. You are responsible for the day to day operations at a site(s). Responsibilities include, but are not limited to:
Employee to act as an ambassador for the company and its vision of combining hospitality culture with real estate knowledge.Assist with & facilitate Hospitality events, and coordinate events with other midtown locationsOversees and/or coordinates maintenance and repair work.Ensures proper response to work requests.Provide best-in-class customer service and response to our client’s and their needs.Performs daily facilities inspections and reporting of cleaning or engineering deficiencies.Manage the physical space and daily operations for assigned site(s).Coordinate projects and multi-trade work orders.Assist with collecting and analyzing operational data to provide accurate reporting and insights for services, work order productivity, cost savings, and improvements.Manage all property COI’s with landlord, ensuring all are up to date for vendors and key stakeholders providing services.Perform weekly financial data reporting and management of budget.Administer the materials and supply management processes.Manage relationship as needed, including property managers and other key stakeholders.Support on-site special events and programs as needed. Qualifications
Minimum Requirements include:
Bachelor's degree from an accredited institution or equivalent work experience.
Experience with computerized maintenance management systemsHospitality industry experience a plus.
Assuring a safe environment for work.
Strong interpersonal and communication skills.
Ability to develop positive relationships.
Ability to interpret technical instruction in mathematical or diagram form.
Commitment to hospitality, ensuring that all actions contribute to a positive customer experience.Strict adherence to non-disclosure agreements and a high degree of confidentialityAbility to comply with client health and safety protocols.Ability to manually lift 30 lbsAbility to climb up and down stairs, access restrictive openings, and perform emergency procedures.Interpersonal skills necessary to effectively communicate with a variety of individuals, including outside vendors.
Must have the ability to appropriately handle sensitive or confidential information.
Must be able to prioritize work, meet deadlines and concentrate on detail in a fast-paced work environment.
Intermediate knowledge of MS Office.
The ability to cooperate in a team environment is critical.
Normal office environment with little exposure to excessive dust and temperature.
There is a high volume of noise when receiving incoming telephone calls.
The ability to lift, carry and push weight up to 25 pounds, and ability to walk stairwells is required.
Frequent sitting, standing, and walking is also required.
Typically will sit at workstation sixty percent of the work time.
