Description We are offering a permanent employment opportunity for a Facilities Coordinator based in Provo, Utah. As a Facilities Coordinator, you will be the primary point of contact for various departments and external vendors, ensuring the smooth operation of our facilities. You will also handle reception duties, maintain office supplies, and oversee the overall cleanliness and organization of the office.
Responsibilities
• Manage daily facilities tasks, requests, and issues, serving as the main point of contact for employees, contractors, vendors, and other departments.
• Cover reception duties daily, which include receiving visitors and employees, answering and routing calls, and maintaining a detail oriented demeanor.
• Oversee the stock of office, cleaning, and kitchen supplies, ensuring their adequacy.
• Handle incoming mail and prepare outgoing shipments, including interoffice mail, while also responding to courier schedules.
• Utilize ERP software like SAP, NetSuite, Ariba to set up vendors, submit the scope of work, track financial approval flows, request project POs, submit invoices, and maintain accurate records of project costs.
• Develop strong working relationships with the Facilities Team, Sourcing/Procurement, Accounts Payable, Security, Vendors, Project Managers, the building's Landlord, and their property manager.
• Ensure the office maintains a detail oriented appearance and general organization by supervising cleaning services and maintaining the cleanliness of all common areas.
• Update building signage as required, including employee nameplates. Requirements • Proficiency in CMMS (Computerized Maintenance Management System) is essential
• Experience with general management systems
• Advanced skills in Microsoft Excel are required
• Proficiency in Microsoft Office Suites is necessary
• Must be familiar with Microsoft Outlook
• Knowledge of About Time software is a plus
• Experience managing conference rooms
• Excellent customer service skills are required
• Must be able to handle documentation tasks efficiently
• Experience with receptionist duties is beneficial TalentMatch®
