Facilities Coordinator
**Job Title: Facilities Coordinator** **Job Description** We are seeking a dedicated Facilities Coordinator to develop effective and supportive relationships with internal and external customers. The role involves managing vendor relationships, overseeing purchasing needs, and actively seeking ways to minimize cost while maximizing efficiencies. You will coordinate vendor solicitation, selection, and onboarding, ensuring high-quality services and materials. Additionally, you will coordinate the development, implementation, and maintenance of supply and equipment formularies, and standard equipment and furniture selection. **Responsibilities** + Develop effective and supportive relationships with internal and external customers. + Manage Facilities vendor relationships and oversee Facilities purchasing needs. + Coordinate vendor solicitation and selection, and conduct Request for Proposal (RFP) processes. + Onboard new vendors, maintain appropriate documentation, and communicate changes to staff. + Monitor vendor compliance, ensuring services and materials provided are high quality. + Resolve issues with vendors and staff regarding services and materials. + Coordinate development, implementation, and maintenance of supply and equipment formularies. + Place orders for supplies and equipment as needed. + Coordinate selection of standard equipment and furniture, track equipment inventories, and coordinate installation and training. + Communicate clear expectations and track compliance of ordering work of other staff. + Review purchase histories and other data to inform purchasing practices. + Perform initial reviews of Facilities proposals and agreements, flag potential concerns, and recommend revisions. + Negotiate modifications with other parties when requested. + Reconcile, assign proper coding, and process invoices for payment, ensuring charges are appropriate. + Track Facilities details, including contract and insurance compliance. + Coordinate department presence on the intranet with other team members. + Assist in creating, implementing, and maintaining Facilities documents and systems. + Maintain comprehensive electronic and hard copy files in shared storage locations. + Maintain surplus furniture and equipment inventory and coordinate re-purposing of surplus items. + Coordinate group purchasing organization participation and documentation. + Assist in developing operating and capital budgets, compiling information from recent purchases and vendor input. + Track expenses relative to budgets and compile backup documentation for grant sources. + Maintain department records related to insurance, review and track insurance limits, and coordinate Facilities-related claims. + Coordinate capital and operating procurement, maintenance, and repair projects, including vendor bids and onboarding. + Propose projects for capital budget approval. **Essential Skills** + Working knowledge of commercial facilities procurement practices, ideally in a healthcare setting. + Working knowledge of facilities maintenance, repair, and dispatch of technicians and vendors. + Working knowledge of leases and landlord/tenant relationships preferred. + Ability to build positive relationships with managers, staff, vendors, tenants, and landlords. + Consistent professional and ethical conduct, maintaining confidentiality at all times. + Calm and professional demeanor in difficult situations and emergencies. + Ability to work well with diverse people. + Develop, implement, and maintain organized and efficient systems, processes, and documentation. + Perform basic computer functions in databases, email, internet, word processing, and spreadsheets. + Excellent verbal and written communication skills and strong customer service skills. + Read, write, and communicate well in English and understand basic math. + Organize and problem solve with attention to detail and multitask under high levels of activity. + Prioritize and follow through on tasks. + Comply with HIPAA/Confidentiality policies and procedures. + Work independently or as part of a team. + Receive instructions/feedback, coaching/counseling, and action/discipline. + Demonstrate system thinking. **Additional Skills & Qualifications** + Ability to display consistent professional and ethical conduct and maintain confidentiality at all times. + Ability to remain calm and professional when faced with difficult situations and emergencies. + Ability to work well with diverse people. + Ability to develop, implement, and maintain organized and efficient systems, processes, and documentation. + Ability to perform basic computer functions in databases, email, internet, word processing, and spreadsheets. + Ability to demonstrate excellent verbal and written communication skills and strong customer service skills. + Ability to read, write and communicate well in English and understand basic math. + Ability to organize and problem solve.
