We are searching for a Facilities Coordinator (M-F) to join our team! In this role, you will be the driving force behind delivering exceptional customer service and maintaining a secure, vibrant work environment for the New York Post-operated floors within the 1211 building. We’re looking for a proactive, detail-oriented individual who thrives in a fast-paced environment and loves collaborating with a variety of people—from employees and senior leaders to vendors and subtenants. Your energy and organizational skills will be key in ensuring that everything runs smoothly and efficiently!
Working under the guidance of the Senior Facilities Manager and with various business units (i.e., News Corp, Realtor, New York Post), you must be able to prioritize multiple issues and have a can-do attitude who can help our employees and guests get the most out of our facilities. The ideal candidate is committed to maintaining the operational efficiency of the facilities and contributing to a productive work environment.
**Responsibilities will include but are not limited to:**
+ Provide exceptional customer service to employees, guests, vendors, and stakeholders, ensuring a positive and efficient experience.
+ Act as the primary point of contact for all facility-related issues, responding promptly to emergencies, conducting daily service level checks, and ensuring compliance with health, safety, and government regulations.
+ Coordinate and manage administrative tasks, including submitting tickets for maintenance requests, sending emails, and overseeing facilities-related duties.
+ Manage daily floor operations, including maintaining office tidiness, setting up meeting rooms, restocking pantry supplies, and overseeing conference room organization.
+ Main POC for 1211 AOA mailroom related tasks including, pick-ups/drop-offs, distribution, label printing, UPS,USPS logistics, and any other mailroom ad hoc requests.
+ Assist with space planning, office moves, and logistics, including providing boxes, updating move matrices, and managing relocation activities.
+ Oversee building systems maintenance and collaborate with on-site professionals to ensure efficient operations and resolve issues, while tracking and managing maintenance requests.
+ Grant building access and manage security protocols, including coordinating access to freight areas and the loading dock.
+ Ensure service level agreements (SLAs) with vendors and suppliers are met, conducting daily reviews and tracking resolutions of facilities-related concerns.
+ Monitor contractors’ performance to ensure work is completed to satisfactory standards, and oversee routine maintenance of internal systems (e.g., HVAC, alarms).
+ Collaborate with Corporate Security, HR, and Risk Management to address office security and safety issues, ensuring compliance with health and safety regulations.
+ Occasionally assist with the physical movement of materials and furniture (up to 50 pounds), performing tasks requiring bending, squatting, or other physical activities.
**Requirements:**
+ At least 2 years of experience in a customer-facing or facilities coordination role.
+ Experience with facilities management software or tracking systems preferred.
+ Demonstrated ability to handle administrative tasks with precision, including updating trackers, submitting tickets, and managing email communications.
+ Excellent interpersonal and communication skills, with the ability to collaborate effectively with employees, vendors, and stakeholders.
+ Ability to write professionally and present information clearly, concisely, and effectively.
+ Highly task- and detail-oriented, with strong organizational and time-management skills.
+ Positive and professional demeanor with a customer-focused approach; willingness to take on any task, big or small.
+ Adaptable and resourceful, able to thrive in a fast-paced and dynamic work environment.
+ Strong problem-solving skills and initiative to identify and address issues before they escalate.
+ Proactive, self-motivated, and able to work independently with minimal supervision.
+ Commitment to maintaining a clean, organized, and efficient work environment.
+ Familiarity with mailroom operations, including sorting mail, handling packages, and coordinating shipments, a plus.
+ Physically capable of lifting up to 50 pounds and performing tasks that may require bending, squatting, or other physical movements.
_Note: This position will report into the News Corp office located in Midtown._
Salary Range: $50,000 - $60,000

Pay Range: $50,000.00 - $60,000.00
