The Facilities Coordinator plays a vital role in overseeing and maintaining the functionality, security, and cleanliness of the organization's facilities. This position is responsible for ensuring that all building systems, equipment, and processes operate effectively while providing a safe and welcoming environment for staff, members, and visitors. The Facilities Coordinator will serve as the primary point of contact for facility-related inquiries and manage a wide range of operational tasks, including HVAC systems, security, member onboarding, and building administration.
Responsibilities:
Facilities Management:
+ Oversees and assists with building and grounds maintenance, including coordinating and supervising contractors for snow removal and landscaping.
+ Occasional trash pickup, minor repairs, and general upkeep to ensure a clean, safe, and well-maintained environment.
+ Maintain custodial function by overseeing daily cleaning operations, ensuring proper sanitation and hygiene standards are met, and maintaining custodial equipment and supplies.
+ Ensures established security and emergency preparedness procedures are up to date and implemented properly.
+ Assist with routine facility maintenance by ensuring timely attention to minor repairs and upkeep.
+ While trade-specific work will be handled by qualified professionals, simple tasks such as lightbulb replacement, basic fixture adjustments and minor touch-up painting may be performed as needed to maintain a functional and well-kept environment.
+ Manages and enforces current service contracts, license agreements, and other facilities related contracts and update regularly.
+ Assess and coordinate facility-related needs to ensure a positive experience for members, providing responsive support and efficient resolution of any facility concerns.
+ Responsible for managing space allocation, tracking and recommendations for space utilization
+ Conducts and documents regular facilities inspections and physical resources of the facility management.
+ Recommends maintenance, mechanical, electrical, and facility design modifications based on safety standards, operational efficiency, equipment performance, regulatory compliance, and the evolving needs of the facility.
+ Identify and serve as the primary point of contact for vendors, maintenance contractors.
+ Inspects and verifies the completion and quality of work performed by vendors and contractors to ensure compliance with project specifications, safety standards, and contractual agreements.
+ Maintain maintenance records for building and equipment
+ Responsible for maintenance of projectors, AV equipment and other equipment in common areas such as event centers, conference rooms, etc.
+ Developing SOPs for tasks related to management of facilities and responsibilities mentioned above.
Renovation and Projects:
+ Oversee facility improvement projects assigned and approved by the Board, such as painting, flooring, and system updates.
Job Requirements:
+ Experience in facilities management or building administration.
+ Strong organizational, troubleshooting, and communication skills.
+ Ability to manage multiple tasks and lift light equipment.
+ Proficient with management tools such as Microsoft Office Suite, Zoom, Google Workspace, Salesforce and scheduling platforms.
PREFERRED QUALIFICATIONS
+ Familiarity with lab safety and chemical storage.
+ Knowledge of HVAC systems, security software systems, and safety regulations.
Additional Information:
Salary: $48,000-$52,000 annually. Full-time,12-month position.
