POSITION OVERVIEW
We are looking for a dynamic and detail-oriented Facilities Coordinator to join our team and support the Facilities Manager. The ideal candidate will have a deep understanding of facilities operations, a proactive attitude, and advanced proficiency with Computerized Maintenance Management System (CMMS) platforms like Corrigo and/or ServiceChannel. In this role, you will help oversee the operations, repairs, and maintenance of over 150+ studio locations in the U.S., Canada, and Australia. We need someone who takes initiative, has strong organizational skills, technical expertise in various asset groups, and can thrive in a fast-paced, global environment.
KEY RESPONSIBILITIES:
+ Work Order Management:
+ Assist the Facilities Manager in scheduling and prioritizing Preventive Maintenance (PM) and Repair & Maintenance (R&M) work orders across all studio locations.
+ Monitor, update, and close out work orders in CMMS platforms (Corrigo, ServiceChannel, or similar systems).
+ Track vendor performance against Service Level Agreements (SLAs) and escalate issues as needed.
+ Vendor Coordination:
+ Communicate with vendors and contractors to ensure timely and quality execution of maintenance and repair work.
+ Support vendor onboarding, compliance tracking, and performance evaluations.
+ Technical Expertise:
+ Provide insight and solutions for facilities core asset groups, including plumbing, HVAC, electrical, mechanical systems, and drawing interpretation.
+ Analyze and troubleshoot recurring issues to identify and recommend cost-effective solutions.
+ Data Analytics and Reporting:
+ Collect, analyze, and report on facilities data to identify trends, optimize processes, and support decision-making.
+ Develop and maintain dashboards for tracking key performance indicators (KPIs) related to facilities operations.
+ Scheduling and Communication:
+ Coordinate and schedule meetings, site visits, inspections, and follow-ups for the Facilities Manager.
+ Serve as the first point of contact for inquiries related to work orders and maintenance schedules.
+ Asset Management:
+ Assist in maintaining accurate records of facilities assets, including warranties, manuals, and lifecycle data.
+ Help identify opportunities for capital improvements and coordinate associated projects.
POSITION REQUIREMENTS:
+ 2+ years of experience in facilities coordination, property management, or a related field.
+ Familiarity with CMMS software such as Corrigo, ServiceChannel, or similar platforms is preferred.
+ Experience with facilities asset groups, including plumbing, mechanical, electrical, HVAC, and blueprint/drawing reading.
+ Excellent communication and people skills, able to collaborate effectively with cross-functional teams.
+ High level of organization, diligence, and ability to manage multiple tasks concurrently.
+ Demonstrates a proactive problem-solving approach.
+ Strong work ethic and thrives in challenging environments.
+ Adaptable to support global portfolio and respond to time-sensitive issues.
+ High school diploma or equivalent required, Associate or bachelor’s degree in facilities management, engineering, construction or data analytics is preferred
