In addition to our core facility and project management capabilities, our platform offers direct access to our Best-in-Class services, including ESG, Security Consulting, Workplace Strategy, and Workplace Experience. **About the Role:** As a CBRE Facilities Coordinator, you will support the facilities management team in successfully fulfilling the client's requirements. The role may include front desk responsibilities. **What You’ll Do:** + Respond to client inquiries and concerns, ensuring prompt and quality service delivery and conducting follow-ups to ensure customer satisfaction. + Create work orders and assign them to multiple technicians, subcontractors, and vendors. + Communicated work orders to technicians and helped management with problem-solving. + Generate reports on open and closed work orders and verify their status with the appropriate technician or vendor. + Maintain records such as work orders, proposals, and department files. + Check the accuracy of the completed paperwork. + Train vendors on work order and billing procedures + Process invoices and ensure the correct cost center coding is used. + Assist with the inspections on the facility campus. + Assist with process and procedure training. Minimum of 3-5 years of related experience and/or training. + Capable of understanding and interpreting instructions and correspondence, with the confidence to ask questions to ensure comprehension. + Ability to write routine reports and correspondence. + Ability to respond to common inquiries or complaints from clients, co-workers, and/ or supervisors. + Ability to effectively present information to internal colleagues. + Basic analytical abilities and knowledge of financial terms and principles. Ability to calculate simple figures such as percentages. + Capability to comprehend and execute general instructions and solve problems in common situations. + Physical requirements include stooping, standing, walking, climbing stairs and ladders, and the ability to lift and carry heavy loads of 40 lbs. or more. + Decision-making ability with a general understanding of procedures and company policies to achieve goals and deadlines. + Strong organizational skills with an inquisitive mindset. + Experience in office furniture changes, upgrading current workspaces + Ability to prioritize conflicting tasks and meet deadlines + Proficiency with Calendar, Mail, and other OS X-based office systems is a plus + Effective time management, including the ability to multi-task, organize, and prioritize + Ability to influence others, handle conflict appropriately, and know when to escalate issues upward + Flexibility with schedule changes + Experienced in working in a multi-faceted, fast-paced environment + Partner with the maintenance team to support inspections and day-to-day routine work + Support Shipping & Mail, Reception Services, Events, and escort vendors as needed + Support supervisors and managers to ensure that all pre-approved budgets are consistently maintained on an ongoing basis using approved financial control tools (spreadsheets, reports or similar) + Collaborate with cross-functional partners such as IT, Corporate Security, Safety/Emergency Preparedness, and Crisis Management as needed + Fill in at any of the company’s building lobbies during vacations, schedule changes, breaks, and meal breaks if required + Must strictly follow Apple’s attendance policies **Why CBRE?** We lead by example, guided by the needs of the cities we inhabit, the communities we build, and the world we live in. Massachusetts Residents: CBRE carefully considers multiple factors to determine compensation, including a candidate’s education, training, and experience. The minimum salary for the Facilities Coordinator position is $41,500 annually and the maximum salary for the Facilities Coordinator position is $60,000 annually. The compensation that is offered to a successful candidate will depend on the candidate’s skills, qualifications, and experience.
