Facilities Coordinator
Description We are seeking a Facilities Coordinator to join our team in the Printing/Publishing industry, located in Minneapolis, Minnesota. In this role, you will be the initial point of contact for employees, visitors, and customers, ensuring that our office operates efficiently. This role also involves managing office maintenance, security, and facilities tasks, as well as assisting with the onboarding of new employees. Responsibilities: • Serve as the first point of contact for callers, visitors, customers, and employees, providing detail oriented and efficient service • Oversee the maintenance of the office, including the upkeep of conference rooms and public areas • Implement security procedures, including maintaining a visitor log and issuing visitor badges • Manage all aspects of the office, including mail distribution, office equipment maintenance, and office supply ordering • Build and maintain relationships with building management services, vendors, and caterers • Initiate and follow up on facility repair requests with building management and outside vendors • Assist with the setup and breakdown of large meetings and order catering when necessary • Help organize employee events and maintain kitchen/pantry areas • Assist with the onboarding process for new employees and contractors • Monitor staff movements within the organization and manage office floorplan and seat assignments • Maintain the schedule for client conference rooms • Provide general administrative and clerical support. Requirements • Bachelor's degree in Business Administration, Facilities Management or related field. • Proven experience as a Facilities Coordinator in the Printing/Publishing industry. • Knowledge of CMMS (Computerized Maintenance Management System) is essential. • Proficiency in using IBM AS/400 and Concur. • Familiarity with Kronos Timekeeping System and About Time software. • Understanding of budget processes pertaining to facilities management. • Strong communication skills to liaise effectively with all levels of staff and external contractors. • Ability to manage and coordinate conference rooms for various meetings and events. • Exceptional customer service skills to handle queries and complaints in a detail oriented manner. • Physical stamina and agility to inspect and oversee various areas of the facility. • Proactive and problem-solving mindset to manage unexpected issues related to the facility. • Ability to work in a team and foster a collaborative environment.
