Facilities Coordinator (Fixed Term Contract)
Corporate Accounts - Munich
Key Responsibilities:
Facility Operations Management
Serve as the primary point of contact for all facility-related inquiries and issuesMonitor and process daily customer reports (approximately 200 annually)Oversee maintenance, repairs, and improvements of building systems (HVAC, electrical, plumbing, etc.)Manage vendor relationships and service contractsConduct regular building inspections and safety auditsEnsure compliance with health and safety regulationsSpace Management and Planning
Oversee space allocation and utilizationMaintain accurate floor plans and occupancy dataOptimize workspace layouts for efficiency and productivityManage desk booking systems and hot-desking arrangementsProvide occupancy reports and analytics to managementOffice Moves and Change Management
Plan and execute office relocations, from small-scale to full office movesDevelop and implement change management strategies for workplace transitionsCoordinate with IT, HR, and other departments to ensure smooth relocationsManage the decommissioning and recommissioning of office spacesOversee furniture installation and reconfiguration projectsAsset and Inventory Management
Maintain an up-to-date inventory of office equipment and furnitureManage procurement processes for new equipment and suppliesOversee equipment lifecycle management, including replacements and disposalsImplement and maintain an effective asset tracking systemSustainability and Energy Management
Implement and monitor energy-saving initiativesPromote sustainable practices in the workplaceTrack and report on environmental performance metricsBudget and Financial Management
Develop and manage the facilities budgetTrack expenses and identify cost-saving opportunitiesProcess invoices and manage purchase ordersPrepare financial reports for management reviewProject Management
Lead and participate in facility improvement projectsManage office renovation and refurbishment initiativesCoordinate cross-functional teams to deliver projects on time and within budgetEmergency Preparedness and Business Continuity
Develop and maintain emergency response plansConduct regular safety drills and training sessionsEnsure business continuity in the event of disruptionsEvent Management
Support the planning and execution of on-site eventsManage logistics for meetings, conferences, and corporate functionsEnsure compliance with event-related policies and standardsVendor and Contract Management
Negotiate and manage service level agreements (SLAs) with vendorsConduct regular performance reviews of service providersEnsure compliance with contractual obligationsTechnology and Systems Management
Oversee facility management software systemsImplement and manage smart building technologiesCoordinate with IT on workplace technology integrationContinuous Improvement
Stay informed about industry trends and best practicesPropose and implement process improvementsGather and analyze feedback to enhance facility servicesQualifications and Skills:
Bachelor's degree in Facility Management, Business Administration, or related fieldMinimum of 3-5 years of proven experience in facilities management, preferably in a corporate environmentDemonstrated experience in managing office moves, including planning, coordination, and execution of relocations of various scalesStrong knowledge of building systems and maintenance practicesProficiency in MS Office suite and facility management softwareFamiliarity with CAD software and space planning toolsExcellent project management and organizational skillsStrong communication and interpersonal skillsFluent in German and English, both written and spokenCAFM (Computer-Aided Facility Management) certification preferredKnowledge of relevant health, safety, and environmental regulationsExperience in vendor management and contract negotiationProven ability to manage multiple projects simultaneously and meet deadlinesStrong problem-solving skills and ability to work under pressureExperience with change management processes in workplace transitionsAbout JLL –
