Job Summary The Facilities Coordinator supports the business services manager in providing excellent customer service to our clients. Key Responsibilities + Shipment Coordination and Documentation + Prepare shipment-related documentation, including invoices, packing lists, USDA statements, and FDA end-use letters. + Ensure accurate classification of Harmonized Tariff Schedule (HTS) codes and FDA product codes. + Coordinate shipping dates and times, notifying all relevant parties and confirming shipment details. + Set up recipient profiles for temperature monitoring and ensure compliance with GMP Standard Operating Procedures (SOPs). + GMP Shipment Execution + Perform day-of-shipment tasks, including pack-outs, checklist completion, and adherence to GMP SOPs. + Select and coordinate appropriate couriers based on shipment requirements such as time, temperature, and destination. + Monitor shipments, troubleshoot issues, and ensure delivery timelines are met. + Data Integrity and Records Management + Track and report temperature monitoring data, addressing discrepancies as needed. + Maintain accurate and complete shipment records in compliance with GMP requirements. + Assist in audit/inspection readiness by ensuring documentation is up-to-date and available. + Collaboration and Compliance + Liaise with Quality Assurance (QA) and other internal groups to support shipment approvals, investigations, and deviations. Assist in the development and review of GMP shipping-related SOPs and forms. + Act on GxP audit findings to maintain inspection readiness for shipping and receiving areas. + Inventory and Supply Management + Coordinate with relevant departments to ensure adequate shipping supplies inventory. + Order supplies specific to BPD shipments and manages their availability for upcoming shipments. + Compass Management will perform internal training and inspections.
