Duties & responsibilities
Tracking of Facility Operating ExpensesProcessing of all invoices for paymentTracking, verifying and filing all JLL and Facility related invoicesClient billing / invoicing and follow up payments by clients.Monitoring of Housekeeping related activitiesVendor managementArrangement of all consumables and supplies for Client / VIP visitsInterfacing with the pest control for carrying out the pest control activities at the facility.Preparing the Daily/Weekly and Monthly reportsTaking facility rounds and find out snags and logging complaint with the Help Desk.Follow up and close the complaint logged.Effectively manage Facility team to ensure an on time deliverable system.Ensure the Housekeeping Team is managed efficiently according to the established concept statements and adhere to company’s Policies and ProceduresEnsure the level of service standards and cleanliness of the property, particularly the Gym Room, Canteen and Conference Area, meet the set standard of the companyWork closely with HelpDesk, Reception, Catering, Facilities and Amenities and Property Operation TeamsEnsure that all Housekeeping OS&E and FF&E items are properly inventoried and monitored. Recruit, select and develop Housekeeping employees / vendors to work following the operational, financial, administrative philosophies willing to become multi skilled and perform multi tasks.Effectively manage Facility team to ensure an on time deliverable system.Routinely Inspect all services to ensure performance measures are being maintainedProvide assistance to AFM/FM in all administrative functions and Facility services and any other administrative functions deemed by ClientOwnership of the Day to day administration, including reports generation of the stocks tracker.Muster all the housekeeping staff of the shift before deployment and communicate the priorities of the dayInspect the turn out and attendance of the staff and sign the shift registerMeet the housekeeping in charge during the shift to discuss and communicate priorities for the shift and address complaintsEnsure that the food vendor are maintaining highest standards of hygiene in the services areaOversee the pantry equipment and reprographic equipment operations during the shift and identify issues and take necessary actionsCommunicate to the FM all incidents issues and pending problemsTake rounds of the facility regularly to identify issues in and initiate immediate rectification actionsPerformance objectives
To provide accounting support to the Facility Management team assigned.To provide administrative support to FM for site teamsTo provide comprehensive management of services covering all facility services to the client with the focus of continuous improvementTo achieve financial and other targets given by AFM/Facility Manger.Achievement of the service level agreements.Key skills
Reports on timeAccurate billing and invoicingZero stock out situationsMaintain high standards of Housekeeping of the Facility. Knowledge of Occupational Safety requirementsStrong PC literacy and proven ability to manage daily activities using various systems.Demonstrated experience with continuous improvement initiatives highly desirableDemonstrated experience with client reporting and preparation of reports required.Ability to work under pressure and multitaskEmployee specification
Graduation and diploma in hotel management (Female candidate preferred)Minimum three years’ experience in hotel industry or Corporate industryproficiency in computer skillsLocation:
