Position Summary:The Facilities Lead will be responsible for leading the facilities team to deliver consistent, high-quality facilities management services with a focus on compliance with regulatory and business requirements, continuous improvement, full oversight of construction and facilities contractors, as well as preventative maintenance, repairs and upgrades to the factory, facilities equipment and building services.Key Responsibilities and End Results: (Essential responsibilities include but are not limited to the following):Be a primary point of contact for facility-related queries to all internal and external stakeholders, including employees, vendors, service providers, corporate, customers, etc.Plan and coordinate activities of the facilities team and third-party service providers with the accountability for successful completion of assigned deliverables to optimize plant efficiencies and avoid/minimize adverse impact to safety, quality and operations.Ensure that contractors under facilities remit, work in compliance with the site health and safety standards, and quality requirements, and that agreed work has been completed satisfactorily and any deficiencies addressed.Evaluate potential impact and urgency and appropriately respond to business requests in respect of day-to-day facility functions, critical issues and emergencies.Ensure the facility is compliant and meets regulatory requirements and obligations including health and safety standards, a]nd appropriate customer and business requirements.Plan and recommend the best locations for new buildings, and reorganize current buildings to effectively utilize the available space.Monitor team’s performance using performance management tools; provide constructive feedback, direction, training and support to improve team’s functional skills and effectiveness.Identify opportunities within facilities remit and lead the implementation of changes to drive improvements.Manage multiple projects in collaboration with cross-functional teams.Coordinate business strategies, budgets, costs and expenditures.Issue requests for proposals for third party services, evaluate and attain best value.Manage various building services issues, including but not limited to parking, mechanical, electrical, chilled water, compressed air systems, humidifiers, HVAC, water supply, lighting, security, fire protection and alarm systems, etc.Provide monthly report summaries of department activities for all facilities performance to align with corporate requirements.Maintain data, plans, drawings, layouts, procedures, reports for all facilities functions, as required by the EHS and Quality.Full oversight and management of routine preventative maintenance, testing and inspection schedules to ensure that facilities are operating safely and efficiently. Ensure all outstanding work orders and assignments are completed and signed off on the EAM system before the end of the grace period. Ensure that environmental parameters for cleanrooms and associated building services are continuously monitored by the site QBMS, and that records are maintained in line with quality and business requirements.Investigate and report to relevant stakeholders any non-conformance events that fall under facilities remit and recommend appropriate preventative actions to avoid reoccurrence.Participate / Lead / Own NCMRs, CAPAs, PCFs, and deviations as requested and required to meet quality/operations requirements.Undertake and ensure all audits under compliance, technical, quality, health, safety and environment are carried out in accordance with legislative requirements and the company audit plan.Demonstrate people management skills by motivating team members to achieve common goals and create an environment where they feel valued and supported. Demonstrate Leadership skills by being able to delegate tasks, give feedback and provide recognition when employees do a good job. Display conflict management skills by identifying and handling conflicts fairly and efficiently.Support and participate on site and corporate environmental projects and initiatives involving energy efficiency, waste reduction, etc.Support all company safety and quality programs and initiatives.Ensure ongoing compliance with GMP in all practices recording of events and processes.Ensure compliance with all learnings from all GMP training events.Attend and participate in meetings, training events, audits and inspections as required.Other responsibilities may be assigned from time to time as needed based on the evolution of the company and the requirements of the department/position.Job Specifications: The minimum education and experience required to perform this job competently. Senior Trades Electrical / Mechanical certification essential5 + years’ experience in facilities or related role essential.Experience of working in a regulated industry, such as medical device/pharmaceutical industry essential.Degree in Engineering or related discipline desirablePrevious management experience desirable.Skills and AttributesExperience in facilities management preferably in a regulated industry, and / or a Bachelor's Degree in engineering or facilities management.Experience in project management and overseeing the work of external contractors.Extensive knowledge of broad range of facilities technical systems and processes.Must possess a proactive approach and a commitment to maintaining high standards of work with focus on continuous improvement.Strong leadership, interpersonal, communication and negotiation skills with ability to drive achievement of objectives.Ability to work and excel in a fast-paced, dynamic environment whilst managing multiple priorities.Ability to forecast costs, estimate and manage budgets.Understanding of Good Manufacturing Practices, ISO 41001, EHS standards and legislation, and facilities management software/tools.Ability to develop peer and cross-functional relationships and interact professionally with all organizational levels.Strong attention to detail and excellent problem-solving, analytical thinking and organizational skills.Excellent listening, oral, written and presentation skills.
