Facilities Logistics Coordinator

Job Summary

Support the Facility Department with strong computer skills driving logistics, MRO (maintenance repair & operations), parts ordering and asset management for all of our Facilities teams.

This role will utilize our CMMS (computerize maintenance management system) and other existing and/or new tools to order and track parts and spares, onboard and manage suppliers, develop and execute replenishment plans, handle inventory management design and implementation and support audits. Utilize CMMS to add, update and otherwise manage fixed assets, including documenting and labeling assets.

This position will also work with vendors and suppliers, along with our in-house procurement team, to maximize value in existing or new suppliers. They will research and onboard suppliers, coordinate purchasing for the Facilities team, manage supply levels and will initiate credit card, invoice and PO purchases supporting day to day Facilities technician needs. They will also help coordinate/support the delivery, receiving and inventory process in connection with on-site leadership and technicians at our locations.

Create metrics, charts & graphs to explain gathered data to the facility and management teams. Requires strong attention to detail and able to maintain confidentiality. Must also have effective communication skills, able to work alone while keeping projects moving forward. Problem-solving skills, in addition to being flexible to changing plans in a fast-paced work environment. Develop systems for data collection and organization and identify opportunities to improve processes across all systems. 

Duties and Responsibilities/Essential Functions

Central point of contact for Facilities team non-emergency parts ordering for Duluth, Grand Forks and Knoxville. Research and on-board suppliers with procurement team to provide the best combination of price and delivery time Place orders via PO, credit card and invoice as necessary for supply orders and manage orders through till the payment process handoff. Create and maintain a parts and supplier library Calculate and update min/max and consumption levels for key items Provide labeling and organization process for spare parts and bench stock Provide regular reporting on work order KPIs and define key metrics. Support occasional inventory audits Manage inventory process, support receiving Onboard, track, remove and update fixed assets within our CMMS, including photographing equipment. Travel to various sites to support needs Provide training and systems support for logistics processes Produces quality presentations reporting key data and processes Ensures that all assigned work areas are always kept clean, orderly, and presentable always. Wears proper protective equipment during appropriate job functions Complies with all paperwork that governs job duties. May be assigned to different work areas and locations as needed Performs other duties as assigned or directed by the Department, Supervisor, Director or appropriate designee. Flexibility in job tasks is a must for this position due to quickly changing priorities. Regular, reliable, and predictable attendance

Two-year college degree or two to five years’ related experience and/or training; or equivalent combination of education and experience. Strong computer skills and ability to learn software programs. IT or general troubleshooting and support experience Power BI or other equivalent data analytics experience. Financial transaction and supplier relationship experience Inventory and product tracking experience Supplier purchasing experience Work order management experience Preferred Asset Essentials experience Attention to detail is a priority. Multitasking and triage/prioritization skills for time management. Excellent team player with great people and communication skills. Strong customer service skills. Driver’s license required.
