Facilities Management Lead
Responsibilities
Provide superior customer service to meet on-site client’s expectations – Leads customers and stakeholders engagementsManage the performance and outcomes of assigned staff reporting to the positionMaintain interface with internal and external stakeholders ensuring process compliance, accurate and timely reporting, and resolution of critical issuesProvide overall facility services in accordance with account’s standard processes and procedures including application of policies and programs, coordination of informationEnsure compliance with portfolio wide initiatives and required local state regulations that pertain to the operating of facilitiesManage, coordinate, and exercise functional responsibility for Facility Management services within assigned facilities / site propertiesPrepare, submit and manage facility budgets with the clients’ goals and objectives addressed, track variances and ensure smooth recovery processSupport prompt submission of invoices from vendor partnersPeople Management
Responsible for overall team management, staff development and planning. Execute staff succession and growth plans - Involved in compensation planning processFor every direct report, build actionable and measurable career development plans; direct report in consistent conversations regarding progressMaintain an effective command for overall management of staff as per the organizational chartProcurement & Vendor Management
Performs key role in the management of all contractors for the whole of Singapore to ensure they perform to the required standards (including inspection of vendors’ works and liaising/coordinating site worksHandles procurement of vendors and services as required from sourcing to awardingFinance Management
Raises purchase requests and processes invoicesHandles and monitors site budgetsAssist in financial processes to ensure that all financial management requirements are completed in a timely and accurate mannerEnsure prompt and accurate management of purchase orders in JDE and CoupaHealth & Safety Management
Conduct regular audits to ensure safety procedures on site are in place and workingPerforms spot checksAssist in carrying out safety procedures and when neededMAC Implementation, Occupancy Monitoring, and Headcount Tracking
Key support in office launches, move planning and implementation including stakeholder’s engagement, internal liaison, and vendor coordinationMonitors space occupancy and headcountImplements agile workspace approachSite Operations Management
Assist in the implementation of best practices especially in terms of operationsConduct site inspections and assessments to ensure all building procedures and performance measures are maintained at all timesLeads and handles moves from planning to execution until post-move supportSeek ways to constantly reduce costs and improve operational standardsMaintain premises in neat and good working condition at all timesRisk Management
Assist in the implementation and management of property risk management programSupport the implementation and monitoring of disaster recovering and business continuity plansFollow established escalation procedures and incident reporting proceduresAdhere to Jones Lang LaSalle’s business conduct by ensuring compliance with the firm’s guidelines, procedures and strategies Ensure to consistently achieve Key Performance Indicators and Service Level Agreement targetsKnowledge of the KPI and SLA, and reporting metricsFlag any process or service achieving low KPI or any deviation from SLAsService Delivery and Program Management
