Facilities Manager

Job Overview:

As a Facility Manager, you will be ensuring consistent and high-quality maintenance operations within the community. This entails a diligent oversight of the preservation and enhancement of common areas, parks, streetscapes, and other shared spaces, coupled with daily on-site inspections to guarantee their optimal condition. This pivotal role stands as a collaborative force, supporting the Board of Directors and the General Manager, aiming to achieve and even surpass community goals. Uphold the community's vision by maintaining the integrity, beauty, and functionality of shared grounds and facilities. Beyond the physical aspect, this position also provides crucial recreational and administrative support. At the heart of this role is a commitment to delivering unparalleled customer service to all community members, ensuring their environment is both enjoyable and safe. Given the scope of responsibilities, it encompasses a broad spectrum of building maintenance tasks. This includes, but is not limited to, carpentry, electrical work, HVAC maintenance, plumbing, painting, and other minor repairs. Always operating within the stringent guidelines set by FirstService Residential, this position consistently brings forward expert recommendations, executes timely and efficient repairs, and champions the importance of preventative maintenance for long-term facility health.

 

Compensation: $90,000 annually

FirstService Residential will compensate the successful candidate in accordance with the posted range. The salary or wage paid to the successful candidate will be commensurate with experience, education, certifications, and specific job responsibilities. For positions designated at a client's property, the salary or wage will also be premised upon the client's directive. The base pay range is subject to change and may be modified in the future. 

 

Your Responsibilities:

Oversee on-site maintenance team, contractors, subcontractors, and vendors assuring quality performance, and compliance with facility, community, and maintenance contracts. Ensure all maintenance service calls and related work orders are handled in accordance with established policies and procedures and contractual specifications. Project completion as assigned by the General Manager and/or the Board. Maintain and update accurate records such as inventories, site maps, and emergency systems. Train and mentor maintenance staff, ensuring adherence to guidelines and OSHA regulations. Hold monthly safety meetings with the team, conduct facility and site inspections, and complete monthly progress reports on all job activities for the Board and/or General Manager. Ensure the application of all necessary safety procedures for legal compliance.  Attend as requested designated meetings or functions. Represent professionalism and FirstService Residential's standards of operations to clients and staff at all times. Collaborate on the reserve and facility budget preparation, and capital expenditure recommendations as requested. Responsible for ensuring walkthroughs of all facilities are completed weekly (minimum), more frequently as necessary, and directing responsible vendors for repairs and maintenance activities. Responsible for RFQ/RFP (Request for Quotes/Request for Proposal) for facility/asset maintenance per reserve study, and other items as deemed necessary. Provide input to the General Manager for changes in maintenance, repairs, purchases, or policies that may benefit the Association financially, decrease liability, or enhance homeowner satisfaction. Establish, update, and keep Facility Maintenance manuals current. Monitor vendors for compliance with Facility Access and Conduct. Management and Oversight of HIPPO – Work-order System Monitoring, Maintenance, and Management, providing weekly exception reports as directed. Conduct walk-throughs and prepare punch lists for all vendors as requested by the Board and/or General Manager. Responsible for the onsite inspections of the common areas. Verify completion of all sub-contractor work when designated as the responsible party to follow through. Must have reliable transportation, a valid Nevada driver’s license, state-mandated insurance, and be able to drive to other work locations if necessary. Any other items that may be required as part of the job based upon the Board of Directors requests and/or General Manager, or as deemed appropriate.

Skills and Qualifications:

Able to read, write, and orally communicate clearly in English. A strong working knowledge of building trades and building maintenance is required. Very strong interpersonal skills are mandatory. Proficiency and working knowledge of Microsoft Office applications (Word, Excel spreadsheets, and e-mail). Effective written and verbal communication skills. Requires basic math skills and an understanding of basic facility maintenance practices and principles. The position also requires the ability to manage multiple priorities (multi-task). Must possess the ability to problem-solve an array of maintenance issues and provide superior customer service skills, both internally and externally. Be able to demonstrate the ability to meet customer requirements, often within budgetary or other limitations. Provide continual evidence of strong maintenance and repair skills in all areas of HVAC, painting, carpentry, plumbing, and electrical.  Must be a hands-on Manager.

Education and Experience:

Four Year Degree Preferred or a comparable amount of relative work experience; Community Management experience is desirable. A minimum of four (4) years of full-time experience in property management and/or facility maintenance or a closely related field.  A minimum of two (2) years of full-time supervisory experience.  Must have hands-on experience with the following construction trades: electrical, plumbing, concrete, masonry, landscape, mechanical, carpentry, finish carpentry, irrigation, painting, and grading. Must have experience interfacing with City agencies as they relate to planning, construction, and maintenance.

 

Physical Requirements:

Walking and standing for the majority of the time, with occasional kneeling, sitting, and climbing stairs. There is a requirement to “walk” the properties in all weather conditions. There is frequent use of hands and fingers. Extensive use of hands, eyes, arms, and voice. Some lifting may be required, up to 100 lbs. The work environment characteristics are normal maintenance conditions.  Hours over and above normal office hours will occur, including evenings, holidays, and some weekends. The schedule is subject to change based on business needs.
