What this job involves
Service Delivery
Manage the delivery of facilities services to the assigned portfolio in accordance with all agreed policies, procedures, and contract scope.Act as a primary point of escalations for the local client across the assigned region.Ensure vendors meet service delivery standards, document and managing scope changes and instances of poor performance.Adhere to preventative maintenance to ensure reliability of systems while driving consistency across the portfolio. Develop and implement innovative programs and processes that reduce short- and long-term operating costs and increase productivity. Ensure compliance with all health, safety, environment and risk management policies and procedures. Support account wide initiatives such as compliance reviews, audits, training programs and other initiatives as appropriate, through driving implementation at a regional portfolio level. Drive initiatives such as benchmarking, best practices, and continuous improvement. Be accountable for the delivery of moves, adds, and changes as well as support associated client-projects of FF&E procurement and capital projects.Support the execution of small construction projects <25K as required and act as the area point of escalation. Engage internally with other teams which may include fitness, food services, massage, transportation, security and network operations, among others.Support other account or JLL SMEs to bring value to the client and facilitate engagement. Proactively develop and manage client relationships, ensuring that expected service levels are achieved.Comply with all requirements of the client contract and meet or exceed Key Performance Indicators. Deliver an exceptional quality of service to the client, as reflected by client feedback.Present Best Practices, Benchmarking and Innovative Ideas emerging industry trends and suggestions to improve GRE management processesRepresent WPP in the maintenance of good relationships with landlords, tenants, and subtenants at each leased PropertyVerify that landlords of WPP-leased spaces provide the appropriate range and level of services as defined in lease documents. Serve as the primary support provider on all non-landlord related services (i.e., WPP obligations) within leased Properties.Conduct a formal customer satisfaction survey with the key business unit representatives from WPP leased Properties regarding landlord and Service Provider services.The Service Provider shall manage service delivery to WPP standards and identify opportunities to improve quality, customer service and cost performance, and execute approved plans. Collaborate and liaison with OpCo Management on the day to day activitiesDevelop, implement, and present monthly reporting and presentations for senior management and OpCo Management (KPI’s. Financial, Operational, etc.).Finance Management / Cost Control / Profitability
Develop and manage Facility operating budgets for the assigned portfolio, proactively track variances and manage within target of agreed budgets, identifying efficiencies and savings where possible. Achieve cost savings through maximizing utilization of suppliers, preferred vendors/contractors and identify additional efficiency opportunities, consistent with client goals.Prepare current financial year budget spend reports (actual vs. budget, variance etc.), analyse expenditure and demonstrate value or alternative efficiency initiatives (cost savings or increased account profitability).Manage the annual budgeting and quarterly forecasting processes for your portfolio. Manage payments to vendors where applicable, using available systems, complying with all relevant policies and procedures.Develop, support and represent facilities as a SME in the planning the client’s annual capital plan for each building, interfacing closely with the client representative.Manage Work to align with OpCo BudgetsSupport OpCo in developing and executing facilities related cost savings measures to reduce spending in accordance with OpCo Budget Challenges and JLL Committed Glidepath.Ensure compliance within delegated financial and contractual authoritiesEnsure compliance with WPP security, IT, and safety policies and the provided WPP guidelines, policies, procedures, and training requirements (this applies to Service Provider Personnel, Subcontractor Personnel and Subcontractors.Leadership/Staff Management
Lead recruitment efforts, manage, develop and supervise a professional friendly, creative, energetic, and detail-oriented team in the delivery of extraordinary events - Adequate numbers of well-trained staff with the appropriate level of knowledge, training, and certifications to meet workload demands and technical requirements for all PropertiesMetrics to justify staffing levels and how changes in work volumes are addressedParticipate in the individual performance management program and personal development planning for members of the teamMentor, train and support people managers to actively support an environment of teamwork, co-operation, performance excellence and personal success across the portfolio.Align with facilities leadership team as a manager and act in a manager capacity for anything at the site/sAct as an ambassador for JLL, adopting and maintaining the firm’s core values of Teamwork, Ethics and ExcellenceContingency plans for potential Transferred Employee transitions and moves as well as Service Provider Personnel attritionRecognition that technical functions in some locations must be performed by union labor.Create an employee and visitor experience that promotes WPP values to help attract and retain talent and clientsMaintain up-to-date succession plans for all Key Personnel on the WPP account.Conduct employee satisfaction surveys, analyze results, recommend actions, and implement those approved by WPPSound like you? Bachelor’s degree or equivalentRelevant designation LEED, CFM, FMA is preferred5+ years facility management experience with demonstrated ability to exercise proper judgmentProficiency in a range of information technology tools and platforms.
