Overview We are seeking a dedicated and proactive Facilities Manager to join our team at Gallagher’s UK Head Office in London. Reporting to the Regional Facilities Manager, this pivotal role is essential in maintaining the high standards that Gallagher is renowned for, ensuring our office environment is safe, efficient, and conducive to thriving business operations for both colleagues and clients. As the Facilities Manager, you will be instrumental in building and nurturing strong relationships with key stakeholders, including business unit leaders, executive assistants, and third-party contractors. Your ability to collaborate effectively will ensure that business requirements are seamlessly met and any issues are swiftly resolved. Your responsibilities will include overseeing contracted services such as facilities maintenance and cleaning, ensuring they are delivered to the highest standards and provide excellent value. Additionally, you will be encouraged to proactively identify and implement innovative initiatives that support and enhance our business operations. How you'll make an impact Act as the primary point of contact for all facilities-related issues, including equipment faults, cleanliness, decorative maintenance, security, and emergency response. Conduct routine building inspections, ensuring high standards from landlords and third-party contractors are maintained and protecting commercial interests by ensuring value for money is achieved, whilst seeking cost savings through innovation. Manage compliance with legislation, codes of practice, and health & safety (H&S) regulations, including conducting training and regular drills. Oversee the maintenance program of key building components to prolong their lifecycle and reduce future risks or costs. Respond and Coordinate (where necessary out of business hours), emergency and security response action, including power outages, water leaks, fire evacuation, invacuation and medical emergencies. Additionally, planned power downs, black building testing and critical maintenance. Conduct regular security audits to ensure adherence to physical security policies, such as desk security, waste disposal, and access control. Maintain effective communication with office managers, executive assistants, landlords, contractors and wider business community to articulate and resolve issues promptly. Project Management. Deliver minor projects related to space management, energy and waste management, and mechanical/electrical infrastructure. Provide facilities management (FM) continuity for multiple London offices, including those acquired through mergers and acquisitions. About You Ability to communicate highly effectively, both internally and externally at all levels, with excellent interpersonal skills and strong verbal and written communications IT literate with a good knowledge of Microsoft Office Knowledge of building systems (HVAC, electrical, plumbing, and fire safety). Proficiency in maintenance scheduling, CAFM, asset management tools. Ability to manage budgets, timelines, and deliverables effectively. Proven track record of managing operations in commercial office spaces, preferably headquarters. Experience in negotiating, managing, and reviewing service-level agreements (SLAs). Experience handling emergencies such as power outages, fire alarms, or natural disasters. Experience overseeing office relocations, expansions, or large-scale renovations.
