Facilities Manager
**Job Title: Facilities Manager** **Job Description** The Facility Manager II is the key point of contact for the customer; they manage, supervise, and aggregate internal and external services to provide a safe, productive environment for patients, guests, and employees. The Facility Manager II will provide leadership, coordination, and support to designated project teams, ensuring all projects are completed within budget, on schedule, and meet all program objectives and governmental regulations. Acting as a liaison between the client/users and all other project participants, including consultants, contractors, vendors, and outside jurisdictional agencies, the Facility Manager II ensures seamless communication and project execution. **Responsibilities** + Manage, coordinate, and liaise facility services including parking, security, cleaning, landscaping, building system & equipment maintenance services, fire life safety, and emergency response. + Manage customer relationships through customer rounding, proactive interactions, and regular site visits. + Maintain a healthy, safe work environment through education, training, and visibility of unsafe practices. + Responsible for financial management of cost centers in the portfolio, actively seeking ways to improve cost efficiencies, including management of purchased services. Forecast and report variances. + Perform regular site or zone inspections for condition, safety, and aesthetics, including meetings with partners, vendors, and landlords-property managers to ensure proper building maintenance and functionality. Act as the point of escalation in managing emergency events. + Assist in the development of policies, guidelines, and standards, and act as a department representative on committees and professional organizations. + Implement quality control measures to ensure project compliance with department, hospital, and university policies, government codes, and regulations. + Assess and document project scope and program, describing objectives, physical requirements, parameters, and constraints, including health and safety, operation, maintenance, energy efficiency, quality standards, and aesthetics. + Manage the review and approval process for all design work from schematic studies through final construction documents and related field changes and changes in scope. + Prepare and maintain accurate, coherent, timely, and auditable project records/files and cost estimates, ensuring space inventory reports are applicable. + Manage lease administration and oversee the Property Manager relationship for escalation purposes. + Manage the process of furnishing and equipment selection, purchasing, and installation. + Work in partnership with internal teams to manage compliance with Fire Life Safety regulations. + Oversee project management for cosmetic upgrades and coordinate facilities requests as applicable. + Manage the selection process and contract negotiations for consultants, contractors, and vendors. + Complete ICRA/PCRA documentation per policy. + Participate in the FS&P On Call System. + Advance staff development through on-the-job training. + This position may require on-call availability during non-standard hours, including nights, weekends, and holidays, to meet business needs and respond to emergencies as necessary. **Essential Skills** + Bachelor's degree in a work-related discipline/field from an accredited college or university or relevant experience in lieu of degree. + 4-5 years of progressively responsible and directly related work experience. + Valid California Driver’s License. + Ability to apply judgment and make informed decisions. + Ability to conduct analysis and formulate conclusions. + Ability to effectively prioritize work and meet deadlines in a fast-paced environment. + Ability to foster effective working relationships and build consensus. + Ability to plan, organize, and manage building operational services; develop, implement, and evaluate building operation systems and preventative maintenance programs. + Ability to understand the terms of a contract for facilities maintenance or repair and ensure work is performed according to the contract. + Knowledge of regulations, procedures, or technical reference materials relating to building maintenance. **Additional Skills & Qualifications** + Professional designations through Building Owners and Managers Institute (BOMI). + Professional designations through International Facility Management Association (IFMA). + Professional designations through Commercial Real Estate Certification Institute (CRECI). + Experience in facilities maintenance/management, program management, vendor management, electrical, plumbing, HVAC, preventive maintenance, CMMS, project management, and operations management. + Regulatory compliance: Ensuring the facility complies with all relevant laws and regulations. + Budget management: Managing a budget and ensuring necessary costs are met without cutting corners. + Building and grounds maintenance: Ensuring the building and basic facilities are well-maintained, and drafting maintenance reports. + Occupational safety and health: Implementing, monitoring, and maintaining health and safety standards, including conducting safety audits and risk assessments. + Managing building projects: Overseeing building projects, renovations, or refurbishments. + Managing staff: Supervising teams of staff across multiple divisions. + Managing parking: Ensuring parking attendance is managed. + Organizational skills: Keeping track of renovations, maintenance, new building projects, parts inventory, expense reports, and local and federal regulations. **Why Work Here?** Job opportunity at an award-winning, globally recognized hospital with great benefits.
