Reporting to the Group Client FM Director and taking direction from the PAM Residential Team. You will work closely in several ‘virtual teams’ within PAM including Scheme Hosts, Portfolio Managers, Portfolio Operations Manager, the Investor Facilities Management team and the Client Financial Management Team.
Key Responsibilities
Facilities Management: In collaboration with the designated Scheme Host and Portfolio Manager, you will assume responsibility for achieving operational facilities-related client KPIs as outlined in the Property Management Agreement (PMA) and/or any other mutually agreed-upon client initiatives. Key duties include:
Understanding the Clients' Property management Agreement to determine the extent of facilities management responsibilities and service provision.
Ensuring the timely and cost-effective completion of reactive and planned maintenance requirements. Have knowledge of all building equipment and ensure maintenance contracts are in place to cover operation and maintenance requirements.
Manage properties in accordance with JLL's policies and procedures, ensuring adherence to best practices as outlined on the PAM Process Hub site.
Monitor vacant/void properties as per the clients' insurance policy, where applicable. Implement regular inspection programmes in compliance with insurance and regulatory requirements. Assist in submitting insurance claims and obtaining quotes or works as instructed by insurers or loss adjusters as necessary.
Ensure properties are ready for sale, handling due diligence inquiries related to facilities for both disposals and lettings.
Teamwork: Regularly communicate with the Scheme Host and Portfolio Manager, acting as the main contact for guidance and advice in relation to site operations. Notify the Scheme Host, Portfolio Manager, and Portfolio Operations Manager of any relevant information that may impact valuation or investment decisions, including assisting in monitoring compliance with contractual obligations.
Risk and Compliance Management: Undertake monthly site inspections for each property in the portfolio, or as needed. Adhere to established procedures for JLL's out-of-hours coverage and emergencies. Maintain high-quality health and safety practices in accordance with JLL's Risk and Compliance management programme, including environmental and sustainability policies. Have a working knowledge and understanding of the Building Safety Act. Develop and implement disaster planning procedures, site contractor regulations and an out-of-hour emergency response process.
Service Partner Liaison and Management: Ensure the procurement of supplies and services at the property follows JLL's procurement programme, including the use of accredited contractors and purchase ordering systems. Monitor contractor performance and review service contracts where necessary.
Financial Management: Assist in the financial management of the properties, including processing invoices, raising purchase orders, monitoring budgets, reporting variances, and adhering to accounting practices.
Customer Experience Management: Provide support in implementing customer experience and operational strategies for your portfolio, working closely with our service partners.
Minor/Major Works Management: Assist JLL building surveyors, architects, and consultants in the delivery of major works. Identify and coordinate minor planned works with the Portfolio Manager and Portfolio Operations Manager.
Required Qualifications, Skills, and Experience:
Strong understanding of both residential and commercial property sectors and ability to identify opportunities for business improvement.
Proficient in stakeholder management and effective communication of business ideas.
Previous experience in the property industry or a related field, with a focus on client or customer relations, or a background in commercial facilities management.
Enthusiastic about driving operational business change and embracing new ideas.
Proactive and able to take initiative in a competitive, fast-paced, and dynamic environment.
Qualifications such as IWFM (BIFM), IOSH or similar in facilities operational management preferred.
Foundation level 3 or above certification from IRPM preferred.
Exceptional organisational and communication skills, both verbal and written.
Motivated to achieve targets and deliver results.
Knowledgeable about safety, quality, and cost-related risks.
Possession of a clean driving licence and personal mode of transport.
