Facilities Office Manager

We are seeking a dynamic and detail-oriented Facilities Office Manager to join our team. This position plays a vital role in maintaining the physical workspace, ensuring that all building systems and office spaces are functional, clean, and ready to support associates. You will provide administrative support to Facilities and assist in creating an exceptional environment for our associates, visitors, and vendors.

JOB RESPONSIBILITIES:

Welcome associates, vendors, and visitors in a friendly manner.

Coordinate visitor access to the facility.

Maintain and coordinate temporary badges for associates, and visitors.

Respond to associate, vendors, or visitor inquiries in person, via email, and/or the internal ticketing program.

Communicate effectively with individuals at all levels of the organization, industry, and community.

Interact with building vendors and Facilities teams to oversee the upkeep and maintenance of the facility.

Coordinate seating charts, move requests and space planning.

Ensure the office workspace remains clean, organized, professional, and safe for all.

Order and maintain office products or services. Both consumable and non-consumable.

Assist in ensuring breakrooms and office spaces are stocked and clean.

Assist with the preparation for company functions and social events.

Complete miscellaneous tasks and projects as assigned to support Nelnet.

EDUCATION:

High school diploma or equivalent; some college coursework preferred.

EXPERIENCE:

2+ years of experience in facilities maintenance or administrative support roles.

COMPETENCIES – SKILLS/KNOWLEDGE/ABILITIES:

Strong organizational skills with the ability to manage multiple tasks simultaneously.

Exceptional customer service and communication skills.

Ability to maintain confidentiality and exercise sound judgment when handling sensitive information.

Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).

Ability to work independently as well as part of a team.

Must have and maintain a valid driver’s license and maintain reliable transportation.

Traveling to properties within and outside of Lincoln could be required.

Must be capable of lifting 50 lbs. 

May be required to work overtime based on business needs.
