MAJOR RESPONSIBILITIES
Concierge and Client Relations
Assist meeting and conference room bookings, fully understand of meeting rooms set up capabilities and technical abilities, ensure speedy response to enquiries and to give appropriate recommendations for meetings or events
Perform daily facility walk around to provide visual check of operations and record all information in the predefined checklist
Actively follow up requests/complaints from clients or guests, report problems to facilities manager if needed
Facilities Management
Provide comprehensive facilities management for the office premises to client site
Arrange and oversee maintenance works including but not limited to coordinate with vendors/contractors/landlord to meet the client’s requirements, prepare quotations and complete analysis & evaluation, present materials and provide recommendation
Inspect security and building facilities and conduct audits to ensure all systems are managed to the highest standards
Monitor performance of vendors and the team to ensure works are compliance with local regulations and policies and company standards including health and safety work practices
Overall management of housekeeping issues include general cleaning, pest control and environment management performed by cleaning vendor
Attend and escalate any emergency situation to facilities manager and prepare incident report
Prepare and conduct induction training to vendors and users on work procedures and policies
Risk Management
Assist in the implementation and management of a property risk management program which identifies major property risks including occupational health and safety, fire safety and essential services and environmental
Support the implementation and monitoring of disaster recovery and business continuity plans
Follow established escalation procedures and incident reporting procedures
Event Management
Support and coordinate workplace initiatives, including but not limited to communications campaigns and company events
Liaise and work closely with catering team/vendors on meetings/events preparation
Procurement, budgeting and Reporting
Active involvement in the monitoring and achieving the required Key Performance Indicators
Assist in the evaluating the vendor procurement and management practices of your designated site and ensure renegotiation and tendering, including tender documentation; evaluation of tenders and preparation of contracts is in accordance with agreed client procurement guidelines.
Co-ordinate and monitor the contractor management program ensuring all vendors comply with all aspects of their agreement
Ensure the Contract Management Database is up to date at all times
Handle invoices payment timely, manage project budgets and initiate saving suggestions
Compile appropriated reporting for client on regularly basis
Administrative Management
Assist in upkeep site staff records e.g. leave applications, expenses claim, attendance summary
Leadership
Actively cooperate and monitor performance excellence within the team
