MEDICAL CENTER ENGINEERING JOB DESCRIPTION  

The Facilities Soft Services Manager (SSM) will be responsible for managing all in scope soft services provided on the client’s medical center campus. The SSM will manage and maintain overall site service, performance, processes, and quality standards for services which may include but is not limited to: cleaning, landscaping, snow removal, parking lot maintenance, solid waste & recycling, interior plants, and pest control. Reporting to the Director, Workplace experience, this position is responsible for managing a network of subcontracted vendor for the successful delivery of all soft services, successfully managing vendor performance and relationships, and collaborating where necessary with the Maintenance & Operations, Project, and Experience teams in support of the JLL’s service delivery requirements.

Job Requirements 

Single point of contact for soft services operations and management within the client’s campus. 

Oversee supplier partners to ensure a culture of safety, customer service, compliance, and quality. 

Collaborate with Sourcing & Procurement (S&P) team on opportunities to define scope, coordinate supplier walk-through, and manage supplier performance at property level. 

In collaboration with S&P, identify opportunities to deliver differentiated value through quality, innovation, or cost improvements. Work in conjunction with central S&P programs and account specific programs to support client specific needs. 

Implement innovative programs, processes and procedures that reduce short- and long-term operating costs and increase productivity. 

Manage soft services workflow to insure that recurring and requested work is completed within the specified SLA target. 

Manage all assigned services at facilities to achieve soft service KPI performance targets, monitor SLAs to identify potential challenges and plan corrective actions/best practices accordingly. 

In matrix environment, oversee and supervise both technical and administrative staff in the execution of maintenance and management activities. 

Coordinate as needed with the Director of Compliance to ensure that any compliance related activity is properly documented and reported.  

Responsible for establishing the annual budget for soft services, provides feedback to Maintenance & Operations team on operating expenses against budget for all properties. 

Responsible to represent JLL and to portray partnership management in the areas of service, performance, compliance, ethics, people, and relationship management for the assigned sites. 

Periodically and as needed, provides Client service-related reports/communication. 

Demonstrates continuous improvement on all key measurables. 

Work in conjunction with S&P to support client specific needs.  Participate in the client’s Anchor Mission commitment and JLL’s diversity supplier programs, including meeting governance requirements and scorecard review for assigned portfolio.   

Understand JLL contractual scope and ensure all contractual commitments are always fulfilled.

Responsible to represent JLL and to portray partnership management in the areas of service, performance, compliance, ethics, people, and relationship management for the assigned buildings. ​

Provide high-touch Ambassador customer service support to designated campus areas.

Education and Experience 

Bachelor’s degree or equivalent work experience in Facilities Management with soft services/vendor management focus. 

Minimum of five years industry experience required either in the corporate environment or third-party service provider. 

Knowledge, Skills, and Ability 

Business acumen including financial planning and analysis. Must be able to manage within budget and time constraints. 

Strong organizational and management skills 

Strong interpersonal skills 

Excellent oral and written communication skills 

Proficient in MS Office 

Proficiency in CMMS supervisory responsibilities and workflow management
