Facilities Specialist Job Family Grouping Job Family: Admin/Support Group Facilities How does this role contribute to our collective success? The jobholder is responsible for providing workplace operational support across a wide range of areas of responsibility to ensure that workplace operations are delivered professionally and effectively to both our external clients and internal AXIS colleagues What will you do in this role? • Building Maintenance: Report all issues to building management office o Temperature control o Lighting o Maintenance requests o Plumbing issues • Café | Hydration Stations: o Ensure coffee equipment is operational, clean each unit daily o Ensure Vivreau water taps are clean and operational o Ensure coffee supplies are stocked o Replenish dishware as needed o Ensure dishware is cycled through the dishwasher daily o Ensure space is clean and organized o Report maintenance issues to Senior Workplace Specialist and/or call vendor • Concierge | Hospitality: o Assist Senior Specialist in providing “day 1” tour to all new staff, introduce Workplace team members and review emergency procedures and exits o Arrange hospitality and catering as requested for events, this may include room setup • Life | Safety: o Follow Business Continuity procedures for your location o Regularly inspect the office for potential hazards o Cintas: Monitor supplies in first aid kits • Iron Mountain o Ensure shred bins are locked and emptied on a regular cycle • Security: o Ensure all cameras and card readers are operational. Report issues to Senior Workplace Specialist or vendor • Mail | Overnight Packages o Sort and distribute incoming/outgoing mail and overnight packages o Ensure postal equipment is operational, report any issues to the Senior Workplace Specialist or vendor • BTS Support o Provide IT support as requested by Senior Workplace Specialist or BTS leadership o Ensure that IT stockrooms, server rooms and workrooms are kept in a tidy professional manner. Report any issues to your Senior Workplace Specialist • Serraview | Engage o Ensure staff are using the Engage app to reserve workspace • Office Services: o Monitor office regularly to ensure cleanliness o Ensure office space, conference rooms, kitchens, stockrooms and collaborative areas are clean, organized and tidy o Provide cover and support as necessary to team members o Answer and transfer calls o Greet clients and visitors in a polite, professional, and courteous manner o Act as a central source of information to field general inquiries from staff and visitors • Underwriting Support o Locate & scan files for Underwriting as requested o Preparing and shipping certified mail letters • Claims & Finance Support o Receive checks o Record the status of checks in the log on Share Point o Scan Checks o Forward checks as requested o Voiding/destroying checks as requested You may also be required to take on additional duties, responsibilities and activities appropriate to the nature of this role. What you need to have: • Knowledge and good experience of providing facilities or hospitality services within a corporate/professional environment • Knowledge and understanding of providing superior customer service on a consistent basis • Must be available for after-hours emergencies • Ability to physically stand, bend, squat and lift 30 pounds What we prefer you to have: • Can-do attitude – no task is too big or too small • Creative problem solver, bringing innovative ideas and solutions to the table • A sharp eye for detail and a sense of office pride • Excellent time management and organizational skills For this position, we expect to offer a base salary in the range of USD 40K - 55K. The specific salary offer will be based on an assessment of a variety of factors, including the experience of the successful candidate and their work location. In addition, all employees are eligible for competitive incentive targets, with awards based on overall corporate and individual performance.
