Facilities Specialist

JOB SUMMARY

This position is responsible for staff and/or vendor activities pertaining to facility operations and performance oversight, preventive, predictive and corrective maintenance, property asset lifecycle replacement as well as other facility and site operations planning and oversight efforts.  The Facility Specialist manages or supports budgeting, planning, construction, purchasing, maintenance, and/or alteration of existing equipment, furniture, building, and grounds. This position requires interaction with departmental managers, on-site staff, other Services, IT and Physical Security partners and outsourced vendors. This role will be part of a fast-paced environment consistent with handling multiple demands and priorities to ensure superior customer satisfaction and property performance.  Work assignments are often complex in nature where judgment is required in resolving problems and making recommendations.  The Facility Specialist applies knowledge of the job and company policies and principles to complete a wide range of tasks and achieve departmental plans, goals, and objectives. 


MAJOR DUTIES AND RESPONSIBILITIES

Actively and consistently supports all efforts to simplify and enhance the customer experienceOversees the development and management of assigned facility capital and expense budget and supplies information for use in forecasting capital improvement planningOversees/performs and records all preventive maintenance and inspections to ensure proper performance and quality standards for operational continuity of equipment and critical systemsOversees the implementation and enforcement of all company policies and procedures to ensure health, safety and code complianceManages facility emergency procedures, training, and coordination of on-site fire drillsBids, negotiates, contracts, and manages all assigned vendor services as required to operate the facility at an agreed upon standard while pursuing programs to reduce short and long term operating costsManages assigned facility administrative services, which may include reception/switchboard, mailroom, conference rooms, break room, and Employee Services for execution of order, delivery, and stock of supplies; receipt and distribution of mail; and conference/meeting room services and event planningManages and resolves on-site staff and employee issues, concerns and requests as it relates to facilitiesPlans, budgets, schedules and coordinates assigned facility modifications and furniture and equipment moves, including estimates, proposals, layouts, contracts/ agreements, and labor/material requirementsCollaborates with the Physical Security regarding physical security equipment maintenance and/or replacement, on-site security services, emergency preparedness and key management per established standardsPerforms other duties as assigned

REQUIRED QUALIFICATIONS

Skills/Ability and Knowledge

Ability to read, write, speak and understand EnglishAdvanced customer service skillsAdvanced ability to communicate orally and in writing in a clear and straightforward mannerAdvanced ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manualsAdvanced ability to translate complex data into simple termsAbility to prioritize and organize effectively  Ability to show judgment and initiative to accomplish job duties      Ability to develop strong working relationships with peers and vendorsAbility to work independentlyDemonstrated advanced knowledge of facility management including facility and maintenance operations, construction management, and building commissioningStrong knowledge and proven experience in budgeting and capital expenditures Strong knowledge of systems controls and Building Automation SystemStrong knowledge of power generation equipment, switch gear, and uninterruptable power Strong knowledge of plumbing, electrical, HVAC, fire and life safety equipment maintenance, troubleshooting, and repairsStrong vendor management experienceStrong word processing, spreadsheet, and facility management software skills

Education

High School Degree or equivalent work experienceAssociates Degree in technical or hospitality field preferredFacility Management or Hospitality Management certification or successful completion of a recognized curriculum related to the same is preferredMechanical, electrical and/or contractor’s license is a plus
