Job Summary: The Facilities Sr Manager is responsible for overseeing the smooth operation and management of our diverse corporate headquarters building, comprising office spaces, Café and Barista bar, fitness center, product development and graphics arts studios, conference center, customer experience area, and machinery engineering and fabrication facility.  Accountabilities include ensuring the security, safety, functionality, and efficiency of the building while fostering a positive environment for employees and visitors alike.

 

Duties and Responsibilities:

Facility Management: Lead relationship with Property Management firm’s Property Manager and Café Manager ensuring service level agreements (SLA’s) and associated key performance indicators (KPI’s) and goals are understood and aligned to meet company expectations.     Establish, document and communicate performance via bi-weekly joint business review meetings with Property Manager and Café Manager to review janitorial, sanitation, maintenance, security and other routine SLA’s and KPI’s.     Oversee the day-to-day operations of the entire facility, ensuring all areas are well-maintained and meet safety standards. Coordinate with porters, janitorial, maintenance staff and third-party vendors for repairs, renovations, and upgrades as needed. Manage building utilities, waste, recycling, composting, including electricity, water, and HVAC systems, to optimize efficiency and reduce costs. Employee Relations: Serve as the primary point of contact for employees, addressing their inquiries, concerns, and requests in a timely and professional manner. Foster positive relationships with employees through effective communication and proactive engagement. Coordinate employee move-ins, move-outs, and space allocation, ensuring seamless transitions and optimal space utilization. Financial Management: Develop and manage the facility budget, including operating expenses, capital expenditures, and reserves. Monitor expenses, identify cost-saving opportunities, and implement budgetary controls to ensure fiscal responsibility. Negotiate contracts with vendors, service providers, and suppliers to secure favorable terms and pricing. Health and Safety Compliance: Maintain a safe environment for all occupants and visitors. Implement and enforce security protocols to safeguard the premises and its occupants. Ensure compliance with all relevant health, safety, sanitation and building codes, regulations, and standards. Conduct regular inspections and audits to identify potential hazards and mitigate risks. Implement emergency preparedness plans, training and procedures to ensure the safety and well-being of employees during emergencies or disasters. Oversee fire prevention systems and emergency procedures. Building Maintenance: Collaborate with maintenance professionals to address any issues promptly. Ensure accessibility for all individuals within the building. Monitor and maintain exit signs for emergency situations. Manage parking lot maintenance. Team Leadership: Lead and supervise a team of facility staff, including porters, janitorial, maintenance technicians, security personnel, and administrative staff. Provide guidance, coaching, and professional development opportunities to enhance team performance and morale. Foster a culture of accountability, collaboration, inclusion and continuous improvement within the facility management team.

Key metrics, performance expectations, and results that a Facilities Sr Manager would be responsible for:

Business Satisfaction: Manage conference center meetings, schedule, and catering. Maintain safe, clean and orderly fitness center, equipment and employee locker rooms. Manage third-party fitness center staffing and monitor utilization rates to drive maximum employee involvement. Regularly assess employee satisfaction through surveys, feedback, and communication. Address concerns promptly and maintaining positive relationships. Cost Management: Control operational costs, including utilities, maintenance, and repairs. Develop cost-saving strategies without compromising safety or quality. Maintenance Efficiency: Measure the efficiency of maintenance processes. For example: Response time for repairs (e.g., HVAC, plumbing, electrical). Preventive maintenance completion rates. Downtime due to maintenance issues. Energy Efficiency: Implement energy-saving initiatives: Monitor energy consumption. Evaluate the effectiveness of energy-efficient systems (lighting, HVAC, etc.). Set reduction goals consistent with business sustainability targets. Health and Safety Compliance: Ensure compliance with health and safety regulations: Conduct regular safety audits. Track, investigate, and report all incidents and near-misses. Implement corrective actions. Ensure compliance with food safety regulations: Provide oversight of foodservice operations and third-party providers Ensure third-party sanitation and cleaning protocols are consistently followed Implement corrective actions as necessary. Emergency Preparedness: Develop and test emergency response plans: Evacuation procedures. Security response plans and communication protocols during crises. Business continuity plans. Vendor Management: Evaluate vendor performance: Timeliness of services (cleaning, landscaping, maintenance, foodservice, fitness, and security). Cost-effectiveness. Quality of work.

Qualifications:

Bachelor's degree in Facility Management, Business Administration, Engineering, or related field. Proven experience in managing 7-10  direct reports and third-party teams of 50 or more. Experience managing budgets including lease expenses of $8-10M. Proven experience in building management or related roles (5-7 years). Effective written and oral communication, organizational, and critical thinking skills. Knowledge of safety and sanitation regulations, building codes, and emergency procedures. Proven experience in facility management in a complex commercial or mixed-use property. Strong knowledge of building systems, maintenance practices, and regulatory requirements. Excellent leadership, communication, and interpersonal skills. Ability to multitask, prioritize tasks, and manage competing priorities effectively. Proficiency in budget management, financial analysis, and contract negotiation. Familiarity with facility management software and technology tools, SAP experience preferred. Certification in Facility Management (e.g., CFM) is a plus.

 

Pay Range:   $123,795.00 - $165,060.00
