Job Description

We are seeking an enthusiastic Facilities Supervisor to join our Sydney based team on a full time, permanent basis. This person will play a key role in supporting and maintaining both safe and best-in-class operation of our Brookfield Place Sydney asset.

Reporting to the Senior Facilities Manager, Property Operations, you’ll be joining a national team of enthusiastic and driven individuals who strive for continuous improvement. This position will suit a proactive, confident, and self-starting Facilities Supervisor who wants to build on their previous analytical experience within a collaborative and supportive organisation. You will hold qualifications in facilities maintenance or property management qualifications, and have a current drivers license.

What will you be responsible for?

Assist with development of the annual operating budget/s Review, approve and code invoices for services via the electronic accounts system (Coupa) that are paid for directly by the Client as per the limits of authority provided under the Agreement and as authorised by the Precinct ManagerAssist in preparing Brookfield Internal Monthly Contract Reports.Assist in preparing Monthly Client Reports to the requirements of the Management Agreements or as directed by the Senior Facilities Manager/Precinct Manager.Participate in Business and Budget Planning activities as directed.Assist with provision of analysis and recommendations in regard to Capital Expenditure for a 10-year period and any owner non-recoverable expenses.Attendance on-site on a full time (excluding NSW Public Holidays) basis.Ensure that a 24-hour emergency call-out service is provided for the site overall.Respond to reported issues and coordinate efficient and effective responses.Establish and manage ongoing relationships with relevant stakeholders.Attend meetings of the Clients that relate to the operation of the building.Manage the day-to-day safety processes inclusive of use of the Site Safety System (Linksafe) procedures, high risk permits and fire impairments.Undertake monitoring and delivery the KPI’s as required under the Management Agreements with the ClientImmediately escalate incidents or known risks in accordance with Brookfield policy.Any other tasks as directed by the Facilities Manager/Precinct Manager.Monitor and ensure that periodic meetings reviews are held with subcontractors and suppliers.Comply with Brookfield and Client approved procedures with regards to the development of the sub-contracting strategy, tendering and appointment processes.Assist with the development of appropriate scopes of works and contract documentation to allow contracts to be tendered.Schedule and supervise the services contracts to ensure that they are performed to the levels and for the frequencies as set out in the contract. This will include scheduling and supervision of essential services and other statutory maintenance inspections and certifications.Keep and monitor the stock of necessary spare parts for services, plant and equipment where required.Witness services commissioning and identify defects for the annual fire safety certification.Prepare and administer relevant registers.Prepare and administer site rules and ensure all contractors are set up and utilise the Site Safety System (Linksafe) system for signing in and out each day.Set-up and maintain ANGUS (CMMS Computerised Maintenance Management and Tenant Service Request System) to maintain an asset register of all plant and equipment, scheduling preventative maintenance activities, recording corrective works and cost history for the properties and reporting on the maintenance service.Conduct periodic maintenance inspections of services, plant and equipment and provide information to the Facilities Manager.Conduct safety observations and spot safety checks in line with WHS procedures.Provide technical support and advice on building management issues to the Clients.Maintain and conduct an annual review of the Fit-out Guide for the precinct.Monitor tenant fit outs to ensure compliance with base building and minimise disruption to other tenants and services.Assist with the implementation of any Brookfield systems as directed to ensure compliance with Client and Corporate standards of service delivery.Regularly inspect the property and prepare reports identifying any risk areas which should be reported to the Facilities / Precinct Manager.Attend and participate in Brookfield Operations meetings and associated Brookfield corporate meetings, tasks and functions as required.Participate in Project Business Planning and Budgeting and Strategy Review meetings held at least annually.Assist with managing the contract in accordance with the Brookfield QA system.Undertake other tasks as directed by the Property/Precinct/National Operations Manager or the company from time to time.Monitor and review all reported incidents relating to the Project and arrange appropriate risk minimisation measures where required.Conduct regular inspections of the property and maintain records of any risk areas ensuring notification to relevant stakeholders as required.

What experience and qualifications will you possess?

Trade qualifications in Mechanical, Electrical, or Building Services Engineering preferred.Facilities Maintenance Management and / or Property Management qualifications. Training in current WH&S, QA and ideally environmental legislation and systems.Current Drivers LicenceFamiliarity with the operation of Services (lifts, fire, electrical etc.) and services delivery.Ideally should hold a current first aid certificate.Minimum 2 years experience in a role in a building / facilities management environment.Minimum 2 years experience in a significant commercial asset.Minimum 5 years working in a site team environment.Training in current WH&S, QA and ideally environmental legislations and systems.

Written and verbal communication skills.Ability in financial, budgeting, forecasting, business planning and contract monitoring.Sound understanding of building services.Well-organised and methodical manner.Confidence to take independent decisions but with the judgement to take advice when required.A problem-solving ability to think ‘on the run’ and ‘outside the square’.Knowledge in current computer software with essential knowledge of Word, Excel, Outlook (or related programme).Basic experience in the use of CMMS (Computerised Maintenance Management Systems).Understanding of current technical legislation in relation to the delivery of Facilities Maintenance Management (FMM).Basic technical knowledge of building services including associated legislation and standards.Ability to communicate on all levels.
