Job Overview:
The Temporary Facility Administrator will assist in the facility operations at assigned onsite community to ensure: quality customer service is provided to the client, maintenance of facilities at a maximum level, and oversight of vendors for quality control and adherence to contracts.
Compensation: $19-22/hour
FirstService Residential will compensate the successful candidate in accordance with the posted range. The salary or wage paid to the successful candidate will be commensurate with experience, education, and specific job responsibilities. For positions designated at a client's property, the salary or wage will also be premised upon the client's directive. The base pay range is subject to change and may be modified in the future.
Job Responsibilities:
Include the following. Other requirements may be assigned.
Ensure all customer service calls and related work orders are handled in accordance withestablished procedures.
• Project completion as assigned by Community Manager, Regional Director and/or Board of Directors.
• Preparation of the monthly reports, as assigned by the Community Manager. (Examples; Violation Report, Work Order Report, Utility Report, etc.).
• Perform monthly inspection drives of community and follow community Enforcement Policy when implementing compliance with residents.
• Attend board meetings as required by Community Manager.
• Prepare Enforcement Hearing Agenda and minutes on a monthly basis (or as needed for meetings).
• Receive and handle all enforcement related emails and phone calls with residents.
• Review and monitor community Policies and Guidelines.
• Ensure homeowner inquiries regarding facility usage are handled in accordance with procedure.
• Ensure application of all necessary safety procedures and legal compliance.
• Issuance of resident identification, access cards, resident registration, and ensure appropriate
computer and paper files are kept.
• Coordinate and attend, as requested, designated meetings or functions.
• Responsible for implementation of the Procedural Manual, and any other duties that may be
required by supervisor.
• Work with Community Manager on the event scheduling process, as needed.
• Schedule events accordingly, as needed.
• Represent professionalism and FirstService Residential's standards of operations to clients and fellow staff at all times.
• Conduct walkthroughs of all facilities daily, and to direct responsible vendors/staff for repairs in accordance with budget guidelines and prepare for Community Manager review.
• Provide input to supervisor for changes in maintenance, repairs, purchases or policies that may
benefit community financially, decrease liability, or enhance homeowner satisfaction.
• Assist in the updating of Facility Maintenance manuals.
• Apply a pro-active approach to all areas of responsibility and strive for continued improvement and excellence throughout.
• Responsible for completion of applicable punch list items.
• Attend all company mandatory functions.
• Comply with company policies and procedures.
• Handles architectural applications from owners to architect or Architectural Review Committee, whichever applies.
• Other projects and opportunities as may be deemed needed and appropriate for this position, as assigned by the Community Manager and additional leadership team.

• Has customer service experience.

• Must be able to handle the deadlines and pressure of the position.
• Must be proficient with Microsoft Office.

Education & Experience:
Completion of some college level course work preferred.

Must have finger dexterity for typing/using a keyboard Work is performed in a variety of environmental conditions, with exposure to outdoor temperatures, weather variations, traffic and equipment noise, equipment vibrations, vehicle and/or chemical fumes, chemicals such as cleaning solvents and grease, machinery and their moving parts and dust he work environment characteristics are small office conditions at an onsite facility Work duties may require the ability to stand or walk on hard surfaces for frequent and prolonged periods of time Must work effectively with co-workers, clients and others by sharing ideas in a constructive and positive manner; listening to and objectively considering ideas and suggestions from others; keeping commitments; keeping others informed of work progress, timetables and issues; addressing problems and issues constructively to find mutually acceptable and practical business solutions; and; respecting the diversity of our workforce in actions, words and deeds Occasional evening and weekend meetings/events may be required Hours over and above normal office hours may occur, including evenings, holidays, and some weekends.
