Facility and Sport Amenity Coordinator

Job Overview:

 

The Facility and Sport Amenity Coordinator will work under general supervision of the Assistant General Manager (AGM), assist with facility management responsibilities such as communication with and monitoring of vendors, contractors, facilities personnel and users.  Inspect parks and recreation facilities, prepares, and submits maintenance and repair work orders. Ensures adherence to maintenance and activity schedules.  Recommends facility improvements and provides quality control and enforcement of property management processes and procedures.  Participates in the implementation of community wide special events and recreational programming. Complete management of the sport amenities and permitting processes for the sport amenities.

 

The Community of Rancho Mission Viejo or “The Ranch” is located in South Orange County.  The Ranch is a phasing community that will have a buildout up to 14,000 homes with up to 40% age qualified housing. Currently, we have 10,500 residents with a demographic that spans from singles, young married couples, empty nesters and 55+ and better.  We expect buildout of the next largest planning area of 7,000 homes to take the next 10-15 years. RanchLife operates like a Parks and Recreation for a City, activating the amenities owned by the Master HOA and providing a lifestyle experience for all ages, and Rancho TMA (“RanchRide”) provides transportation that promotes connectivity around the community and into neighboring areas.

 

Compensation: $26-27/hr

 

FirstService Residential will compensate the successful candidate in accordance with the posted range. The salary or wage paid to the successful candidate will be commensurate with experience, education, and specific job responsibilities. For positions designated at a client's property, the salary or wage will also be premised upon the client's directive. The base pay range is subject to change and may be modified in the future.

 

Job Responsibilities:

Coordinate, Monitor, and Administer all Facility Usage: 

Assist in monitoring Policies and Guidelines. Communicates and promptly responds to inquiries from vendors, residents, committee and board members. Respond to homeowner inquiries regarding facility usage and maintenance concerns Assist in the implementation of RanchLife sponsored community events and activities as needed, as requested. 

Facility Maintenance: 

Responsible for walkthroughs of all facilities, and to direct responsible vendor for repairs and in accordance with budget guidelines. Conduct research for facility maintenance vendors, supplies, equipment, elements of Reserve Study projects and other items as deemed necessary.  Compile all information and report results to the Facilities Manager (FM) in written format. Provide input and coordination with fellow facility associates on changes in maintenance, repairs, purchases, or policies that may decrease liability, enhance homeowner satisfaction, or benefit the association fiscally. 

Sport Amenities: 

Manager the oversight and permitting of Sport Amenities. Monitoring of all Policies and Guidelines for the Sport Amenities. Acts as a point of contact with local and regional sport organizations. Manages the distribution, collection, and maintains a database of forms, documents, and data related to Sport Amenities allocation. Communicates and promptly responds to inquiries from organizations, residents, committee and board members, and new organization applicants. Facilitates and organizes seasonal sports organization representative meetings. Respond to homeowner inquiries regarding facility usage and maintenance concerns. 

Vendors: 

Monitor vendors, sub-contractors, instructors, and volunteers, in the areas of performance, compliance with contracts, and supply purchases, safe practices. Ensure and oversee vendor’s compliance with contractual agreements and communicate all concerns and/or issues to the FM. Ability to complete a Scope of Work and/or specifications for projects to be completed through approval of FM and AGM. 

Administrative: 

Responsible for desk operations. Including but not limited to telephone, clerical activities, interfacing with residents, vendors, committees, etc. Handle customer service calls and issue related work orders, in accordance with established procedures. Receive all material delivered to the onsite office, process it, and forward to the responsible parties. Maintain lost and found depository. Monitor and report any violators of the policies and guidelines to the Facilities Manager. Handle all functions outlined in the Procedural Manual. Keep all filing current and maintain well-organized files. Assist with Board meeting preparation and clean up, as necessary. 

Fiscal: 

Maintain the facilities with fiscally responsible practices. Deliver all invoices to FirstService Residential in a timely fashion for payment.       

 

Skills & Qualifications:

Strong ethical practices. Proficient in speaking, reading and writing English as this position requires interfacing verbally with the public, tenants, peers and supervisors. Bilingual Spanish, helpful. Ability to prepare written reports and complete log sheets. General math skills. Ability to determine next level involvement for problem resolution. Ability to think and work independently as well as part of a team. Must be able to work well under pressure and deadlines, as well as work independently and prioritize time effectively. Ability to make decisions and solve problems creatively using good judgement. Training will be required in the following areas: Connect, Facility Reservation System, community website, and RanchLife App Must have advanced computer skills in use of Microsoft Office Outlook, Word, Excel, and PowerPoint 

Education & Experience: 

Associate’s degree or equivalent with emphasis in Recreation or a closely related field Five hundred (500) to one thousand (1,000) hours of group recreational activity leadership, property management and/or facility maintenance or an equivalent combination of education and experience, preferred. 

Physical Requirements & Working Environment:

Must be able to sit and/or stand for extended periods of time. Must be able to lift up to 35 pounds to support community events and activities set up and tear down. Must have finger dexterity for use of a keyboard. The work environment characteristics are small office conditions at an onsite facility. Desired Schedule: This role will be a flex schedule between facility administration and sport amenities oversight. Days worked will be a Tuesday through Saturday schedule with the possibility of a mid-shift time of either 10:30 a.m. or 11:30 a.m. start time for an 8-hour shift. Occasional evening and weekend meetings/events will be required. Consistent and regular attendance required. Hours over and above normal office hours will occur, including evenings, holidays, and some weekends. Schedule is subject to change based on business needs.
