Within the framework of Law 21.015, which encourages the hiring of people with disabilities, We are currently seeking a proactive individual for the role of Facility Assistant to join our team. Location: Providencia, Región Metropolitana, Chile. 

Work schedule: Monday to Friday, 8:00 am to 5:00 pm.

Work model: On site.

Contract Type: Indefinite-term.

Responsibilities:

Serve as the primary point of contact for internal customers regarding facilities-related inquiries and issues.

Manage and resolve facilities-related queries and requests from employees in a timely and professional manner.

Assist the Facility Manager in overseeing daily operations of the facility, ensuring all systems and services are functioning properly.

Conduct regular site inspections to identify and report any maintenance issues, safety hazards, or areas needing improvement.

Coordinate and oversee routine maintenance tasks, including scheduling repairs and preventive maintenance activities.

Act as the first point of contact for facility-related issues reported by staff, addressing concerns promptly or escalating to the Facility Manager as needed.

Monitor inventory of facility supplies and equipment, placing orders when necessary and managing stock levels.

Assist in coordinating with external vendors and service providers, ensuring timely completion of contracted services.

Support the implementation of health and safety protocols, ensuring compliance with regulations and company policies.

Help manage space allocation and office layouts, assisting with moves and reconfigurations as required.

Maintain accurate records of facility operations, including maintenance logs, incident reports, and equipment inventories.

Assist in preparing reports on facility performance, maintenance activities, and budget expenditures for the Facility Manager.

Support the coordination of special events or projects related to facility operations.

Assist in emergency preparedness and response efforts, including participating in drills and updating procedures.

Help implement and monitor energy efficiency and sustainability initiatives at the site level.

Provide administrative support to the Facility Manager as needed, including scheduling, document preparation, and data entry.

Act as a liaison between the facilities team and other departments to ensure effective communication and coordination.

Requirements:

Associate's degree in Business Administration, or related field; Bachelor's degree preferred.1-3 years of experience in facilities management or a related role.Strong understanding of building systems and facility operations.Excellent organizational and time management skills.Strong communication skills, both verbal and written.Proficiency in Microsoft Office Suite and familiarity with facility management software.Ability to prioritize tasks and work independently under general supervision.Problem-solving skills with a proactive approach to identifying and addressing issues.Basic technical knowledge to troubleshoot common facility-related problems.Attention to detail and commitment to maintaining high standards of facility maintenance and cleanliness.Flexibility to occasionally work outside normal business hours for urgent matters or special projects.Physical ability to move around the facility and perform light manual tasks as needed.Customer service-oriented with a positive attitude and willingness to assist others.
