FACILITY MANAGEMENT AND FINANCE COORDINATION INTERN
We are looking for a dynamic and organized intern to support our team in daily facilities management, financial coordination, administrative follow-up, and fleet management. You will play a key role in ensuring the smooth operation of our offices and contributing to local and global projects.
RESPONSIBILITIES
As our FACILITY MANAGEMENT AND FINANCE COORDINATION INTERN you are responsible for supporting the team on various and diversified tasks related to Facility Management.
Your main focus:
Facilities Management:
Work closely with the Facilities Management team to ensure service quality and implement local and global initiatives. Manage Health & Safety (H&S) compliance: organize mandatory training (first aid, fire evacuation), follow up on medical checks, and coordinate safety requirements. Communicate policies, procedures, service interruptions, and emergency protocols to employees. Support sustainability initiatives with local leaders and "Green Lab" members.
Finance Coordination and Administration:
Manage Purchase Orders (POs) and payments for general services providers. Handle financial data reconciliation for reimbursements and ensure accuracy in accounting systems (SAP). Monitor invoicing related to mobility, including transport subscriptions and electric vehicles.
Fleet Management:
Oversee the company’s car fleet, including contract management, invoicing, and administrative follow-up. Monitor and optimize costs related to electric vehicles in collaboration with vendors and internal teams. Act as the main point of contact for employees regarding company cars and maintenance requests.

The team consists of HR and Facility Management. You will work closely together and with several departments such Travel Retail Lead teams, site leaders of Versoix and Petit-Lancy, HR team, finance and AP team.

You have an analytical mind-set with problem solving skills and are interested in the beauty industry. As the FACILITY MANAGEMENT AND FINANCE COORDINATION INTERN, you enjoy working with numbers and you get energy from working in a fast-paced, diverse and international environment. Your qualifications:
Education: Maturité or CFC in Administration, Finance, or a related field Comfortable with Excel and IT tools in general (SAP is a plus) Strong organizational and analytical skills, attention to details Manage well deadlines and ability to prioritize tasks effectively Proactive mindset, problem-solving skills. Detail-oriented, proactive, and eager to learn and grow in a global retail environment. Ability to work independently and as part of a team. Languages: Fluent in French and in English. German language is a plus
