We are currently looking for a Field Administrator / Field Administrator Sr. / Field Administrative Coordinator in Benton, KY.
POSITION DESCRIPTION:
Responsibilities include, but are not limited to, sending & receiving email, answering phones, copying, faxing, scanning, shipping and receiving, maintaining meeting rooms, maintaining office supplies and equipment and maintaining sign-in sheets, DOT driver record keeping, EH&S record keeping, invoice processing, maintaining files, payroll and input of accounts into Oracle, tracking of vehicle inspections and insurance, updating O&M book, ERP Book, and maintaining the OMS software as it relates to operations and maintenance.
Responsibilities will also include p-card review and coordination, audit tracking, organizing, and tracking of Alignment Sheets, DOT record keeping, emergency information notifications, Event Response Manual updates, hazardous material shipping, local incident tracking, banding, and loading pallets.
In this role the successful candidate will interact with every department in the corporate offices and other field locations, producers, customers, landowners, governmental agencies, and contractors/vendors. Must comply with all required safety and environmental training and have a good understanding of applicable company policies and procedures.
Additional administrative skills include but are not limited to:
+ Invoice coding and submitting to accounting
+ Assisting with creating and monitoring the area operating budget
+ Maintaining office machinery and inventory of office materials and supplies
+ Requisitioning and tracking shipments and receiving materials and supplies
+ Developing project folders and status tracking
+ Assisting with Scope of Work Agreements and Veriforce OQ documentation for activities
+ Assisting the Area Manager and area personnel in support of the area operations
+ Compliance tracking and auditing (OMS or Maximo, Veriforce, and other routine monthly type of inspections)
+ Developing project folders and status tracking
+ Becoming familiar with accounting codes, purchasing program and preparation of requisitions, inventory and setting up projects in the online system.
+ Facilitating and preparing project completion reports
+ Office and meeting area cleaning
+ Organizing meetings as necessary and preparing meeting room presentations
+ Organize filing system and track/audit compliance activities
This position will be responsible for the administrative duties for the company’s Calvert City, KY area.
Normal work hours for this position are 7:00 A.M. – 3:30 P.M. weekdays.
REQUIRED SKILLS, KNOWLEDGE, AND EXPERIENCE:
+ Advanced computer skills with Excel, Word, PowerPoint, MS Mail, and other computer operating systems
+ Advanced typing skills and excellent interpersonal skills
+ Ability to learn computer-based systems for project preparation, requisitions, project tracking, compliance tracking…etc.
+ Valid driver’s license with a safe driving record
+ Self-motivated and have a strong commitment to personal and team safety.
+ Strong written and verbal communication skills and the ability to interact with all levels of personnel as well as good economic and critical thinking skills.
+ Experience with Microsoft programs as well as the ability to read, comprehend, and follow company procedures and manufacturer’s guidelines
+ Works well in small groups
+ Ability to prioritize and manage multiple responsibilities.
+ Physical Requirements – standing/sitting/walking; climbing stairs; bending/stooping/squatting; carrying and lifting items 50 lbs. for a minimum of 50 feet
PREFERRED SKILLS, KNOWLEDGE, AND EXPERIENCE:
+ Administrative Experience in Industrial Utility Office setting.
+ Associate degree
+ Advanced experience with Oracle Accounting systems
+ Experience with Operations Management System
REQUIRED EDUCATION:
+ High School Diploma or Equivalent
PREFERRED EDUCATION :
+ Technical School or College
