Job Description *** IN ORDER TO BE CONSIDERED FOR THIS POSITION, CANDIDATE MUST BE SERVING PERMANENTLY IN THE TITLE OF PRINCIPAL ADMINISTRATIVE ASSOCIATE, OR BE REACHABLE ON THE PRINCIPAL ADMINISTRATIVE ASSOCIATE CIVIL SERVICE LIST OR ELIGIBLE UNDER THE 55A PROGRAM. *** Roadway Repair Maintenance Division, Unit of Arterial Maintenance, of the New York City Department of Transportation is seeking a Principle Administrative Associate to work directly with the Director of Arterial Central. The candidate will be responsible for all day-to-day administrative activities related to completion of crew sheets, create work orders, create daily, weekly, and monthly reports. Communicate with all Arterial Boroughs and RRM administration. Order inventory for 5 Boroughs from multiple vendors including WB Mason, Storehouse, etc. Work with the Executive Director & Director to order required inventory for work related to SAMP, City State, CHIPS and Speedhumps while managing the budgetary constraints. Track orders from initiation through completion while updating the master ordering report. Prepare and review the receiving reports and submit the reports to Fiscal. Update and maintain the vendor summary report and the inventory report on SharePoint. Manage consumable request forms in Share Point. Manage stock data from all the yards. Monthly audits for the inventory, verify budgets with the balances remaining, receiving reports and data inquiries, complaints, and audits. Creation of various analysis and summaries. Requires independent judgement and analytical work. All tasks and submissions must be submitted promptly. Assist the Director with day-to-day yard responsibilities and reports. A baccalaureate degree from an accredited college and three years of satisfactory full-time progressively responsible clerical/administrative experience, one year of which must have been in an administrative capacity or supervising staff performing clerical/administrative work of more than moderate difficulty; or 2. An associate degree or 60 semester credits from an accredited college and four years of satisfactory full-time progressively responsible clerical/administrative experience including one year of the administrative supervisory experience described in "1" above; or 3. A four-year high school diploma or its educational equivalent approved by a State's department of education or a recognized accrediting organization and five years of satisfactory full-time progressively responsible clerical/administrative experience including one year of the administrative supervisory experience as described in "1" above; 4. Education and/or experience equivalent to "1", "2", or "3" above. However, all candidates must possess the one year of administrative or supervisory experience as described in "1" above. Education above the high school level may be substituted for the general clerical/administrative experience (but not for the one year of administrative or supervisory experience described in "1" above) at a rate of 30 semester credits from an accredited college for 6 months of experience up to a maximum of 3½ years.
