Field Operations Manager

Job Responsibilities

 

Plan, execute, and finalize projects according to strict deadlines and within budget as assigned by Executive Director/Community Manager/General Manager. Define the project objectives and oversee quality control to include mechanical, electrical systems, structure, masonry, concrete, signage, and interior/exterior appurtenances.

 

Provide management and direction to ensure properties are maintained.  Oversee recreational facilities.  Oversees swimming pools and lifeguards.  Liaison to Public Works and Buildings and Grounds Committees.  Open and close all pools (8) to include multifamily parcels.  Manage landscape contract.  Draft RFP’s for various projects (facilities, grounds, drainage, etc.). 

 

Essential Duties & Responsibilities

• Regular attendance and punctuality

• Responsible for the supervision of maintenance staff to include training, discipline, and front line performance appraisal.

• Responsible for the inspections of all amenity buildings to include follow-up inspections on work performed by maintenance staff.

• Work closely with Executive Director/Community Manager/General Manager on budget needs and ensure meeting budget for each project

• Preparing documents for RFPs for contractors

• Monitor, oversee and supervise projects and coordinate work of contractors

• Investigating availability and suitability of options for premises.

• Calculating and comparing costs for required goods and services to achieve maximum value for money

• Assist and make recommendations on future development in line with company objectives

• Manage and oversee services such as, maintenance, landscape, cleaning, waste & recycle disposal and monitor performance issues as needed

• Manage schedules and availability of staff and ensure proper coverage for all services are performed properly daily

• Planning best allocation and utilization of space and resources

• Respond appropriately to emergencies or urgent issues as they arise.

• Recommend changes to policies, procedures, and ensure compliance of operational shortterm and long-term goals with overall corporate objectives.

• Responsible for maintaining good working relationships and promoting good public relations with the Owners, Vendors and Local Officials.

• Prepare annual maintenance schedules for amenities.

• Performs general facility maintenance, to include plumbing, electrical, carpentry, painting, electronics and concrete work.

• Ensures a highly efficient safety program, with emphasis on awareness, discipline, and compliance. Overall safety program to conform to OSHA standards, and other safety venues as deemed appropriate.

• Practice and adhere to FirstService Residential Global Service Standards.

• Conduct business at all times with the highest standards of personal, professional and ethical conduct.

• Perform or assist with any operations as required to maintain workflow and to meet schedules. Notify supervision of unusual equipment or operating problems and the need for additional material and supplies.

• May participate in any variety of meetings and work groups to integrate activities, communicate issues, obtain approvals, resolve problems and maintain specified level of knowledge pertaining to new developments, requirements, policies, and regulatory guidelines. • Ensure all safety precautions are followed while performing the work.

• Follow all policies and Standard Operating Procedures as instructed by Management.

• Perform any range of special projects, tasks and other related duties as assigned.

 

Supervisory Responsibility On-site staff, if applicable.

 

Education & Experience

 

• High school diploma or equivalent required.

• Minimum 4+ years’ experience as Supervisor/Manager in maintenance of facilities; engineering or other technical background from university or vocational school a plus

• Demonstrated technical expertise in facility management with thorough knowledge

• Ability to work under pressure, to adjust to constant changes, to handle multiple tasks, and to coordinate the work of others.

• Ability to keep complex records, to assemble and organize data of complex nature, and to prepare and submit reports in acceptable formats and in a timely manner

• Ability to conceptualize, plan and organize multiple programs and assignments effectively.

• Ability to work on complex and confidential tasks utilizing judgment, tact, and resourcefulness.

• Skill in developing and maintaining good working relationships.

 

Tools & Equipment

 

Used Computer and peripherals, standard and customized software applications and tools, and usual office equipment.

 

Physical Requirements / Working Environment

• Position involves sitting, standing, stooping, kneeling, pushing, shoving, lifting, carrying and moving objects that can weigh up to 25 lbs. This movement can occur throughout the day. Must also be able to climb several flights of stairs if necessary.

• Must be able to communicate both on the phone and in person with our clients in order to resolve issues and manage the business.

• Must have finger dexterity for typing/using a keyboard.

• Must be mobile enough to move around both the office in order to make copies, send mail and faxes and to walk around the property. This could include lengthy walks on uneven areas. • Talking and hearing occur continuously in the process of communicating with guests, supervisors, and other associates.

• Capable of working extended hours, to include evenings, weekends and holidays as necessary.

• This position may alternate between working indoors in a controlled climate and with proper lighting, to an outdoors setting with variable climate and lighting.

• Must be able to interact with all types of individuals, be mentally alert, detail oriented, and with good reasoning skills.

• Must be able to work on more than one assignment at a time with frequent interruptions, changes and delays. Must be able to remain focused and work effectively, efficiently, and cheerfully under such circumstances.
