**Job Overview:**
The Finance Operations Director is responsible for overseeing the entire billing, accounts receivable (AR), and cash application process for the company. This includes managing a team (3 direct reports, 23 indirect reports), ensuring timely and accurate invoicing, efficient collections, and proper cash application to customer accounts. The role requires strong leadership, analytical, and problem-solving skills, as well as a deep understanding of accounting principles and best practices.
**Job Overview:**
+ Oversee and manage the day-to-day operations and effectiveness of accounts receivable operations, including but not limited to, payroll, billing, collections, and cash applications.
+ Implement and optimize departmental best practices, policies, and standardized workflows for account receivable operations through continuous improvement initiatives.
+ Oversee the overall health of outstanding accounts receivables.
+ Implement and manage action plans to target and resolve outstanding accounts receivables through effective management and root cause analysis.
+ Develop, monitor, and achieve key departmental metrics and enterprise benchmarks to measure performance.
+ Use analysis to proactively identify fluctuations in collection trends, payment processing effectiveness, etc.
+ Provide executive oversight for system upgrades for accounts receivable applications.
+ Hold regular meetings with all levels of management to review accounting data and address concerns
**Responsibilities:**
Leadership and Management:
+ Lead the Billing, AR and Cash managers and help mentor and develop the Billing, Cash and AR specialists.
+ Set performance goals and provide regular feedback.
+ Foster a positive and collaborative work environment.
Billing and Invoicing:
+ Timely and accurate processing of consultant timecards.
+ Oversee the timely and accurate generation of invoices.
+ Ensure compliance with customer contracts and billing requirements.
+ Implement and maintain billing systems and processes.
+ Identify and resolve billing discrepancies and issues.
Accounts Receivable Management:
+ Monitor and manage outstanding receivables.
+ Develop and implement collection strategies to minimize past-due accounts.
+ Establish and maintain credit policies and procedures.
+ Prepare and analyze AR aging reports.
+ Coordinate communication with senior field management for troubled accounts.
Cash Application:
+ Supervise the accurate and timely application of cash receipts to customer accounts.
+ Reconcile cash transactions to bank activity.
+ Manage and resolve unapplied cash and payment discrepancies.
+ Ensure proper documentation and record-keeping for all cash transactions.
Process Improvement:
+ Identify opportunities to streamline and improve billing, AR, and cash application processes.
+ Implement automation and technology solutions to enhance efficiency.
+ Stay abreast of industry best practices and regulatory changes.
Reporting and Analysis:
+ Prepare and present regular reports on AR performance metrics, including DSO, collection effectiveness, and bad debt expense.
+ Analyze trends and identify areas for improvement.
+ Provide insights and recommendations to management.
Compliance:
+ Ensure Billing, Cash and AR are compliant with SOX and all relevant accounting standards and regulations.
+ Maintain accurate and complete records for audit purposes.
+ Collaborate with internal and external auditors.
**What are the qualifications to apply:**
+ Bachelor's degree in Accounting, Finance, or related field.
+ 7+ years of experience in billing, accounts receivable, and cash application, with at least 5 years in a management role.
+ Strong understanding of accounting principles and practices.
+ Proficient in accounting software and ERP systems.
+ Bullhorn and Workday knowledge preferred.
+ Advanced knowledge of MS Excel.
+ Excellent communication, interpersonal, and leadership skills.
+ Strong analytical and problem-solving abilities.
+ Ability to work independently and manage multiple priorities.
+ Proven track record with process improvement and automation.
+ CPA or other relevant certifications.
+ Experience in a high-volume, fast-paced environment.
+ Knowledge of credit and collections laws and regulations.
