Job Summary
This position provides grant management and program support for large-scale projects within the School of Ocean Science and Engineering. Responsibilities include managing financial databases for multiple programs and projects to ensure sound fiscal management. The role also involves assisting with project management tasks, such as payroll projections, time and effort reporting, and ensuring all grant and project activities comply with relevant regulations, in coordination with the Office of Research Administration. Additionally, this position collaborates with SOSE Faculty and Research Scientists on sponsored project budgetary tasks, including, but not limited to, proposal budget development, as well as providing support for purchasing and travel as needed.
Primary Duties and Responsibilities
+ Provides oversight, tracking, and reporting of financial activities for various assigned large-scale projects with multiple tasks and components. Reconciles monthly detailed reports in SOARFIN for program grant account expenditures. Manages the financial aspects of research grants, including budgeting, revisions, forecasting, payroll tracking, and assisting with financial reporting. Maintains communication with the Director of Coastal Research Finance Administration to address budgetary issues and financial plans.
+ Provides program and project management support, including tasks such as processing payroll forms, managing project budgets, and assisting principal investigators with coordinating travel arrangements and reimbursements. Additional responsibilities include vessel and truck scheduling, assisting with general and project-specific data management, and helping develop job descriptions and post new positions as needed. Coordinates with various financial and support offices to facilitate departmental operations.
+ Coordinates procurement activities for research programs, including procurement card transactions and purchase order processing for faculty and staff. Manages Personal Services Agreements and other contractual agreements to ensure alignment with project and program objectives.
+ Supports SOSE faculty and researchers with pre-award proposal development and post-award grants and contract management. This role involves regular communication with the Office of Research Administration (ORA) internally, as well as with state, federal, and private sponsors externally. Stays up-to-date on federal grant and contracting compliance requirements.
+ Performs other duties as assigned.
Minimum Qualifications
A Bachelor's Degree from an accredited four-year college or university and two years of work experience related to the duties described, or an equivalent combination of education and work experience. Advanced education may substitute for work experience on a year-for-year basis.
Knowledge, Skills & Abilities
+ Skilled user of Microsoft Office and Adobe Acrobat.
+ Experience with financial software and managing budgets.
+ Knowledge of pre- and post- award grant processes.
+ Knowledge of the Uniform Guidance.
+ Ability to maintain confidential information.
