Position Highlights:
+ Title: Firm Administrator (Think Director of Finance, Admin & Operations)
+ Location: Boston, MA
+ Industry: Law Firm
+ Compensation: Up to $250K + small holiday bonus (flexibility for exceptional candidates)
+ Reports To: Managing Partner & Management Committee
+ Direct Reports: 11 (including Controller, Billing Coordinators, Reception/Admin, Legal Secretaries, Paralegals)
+ Work Schedule: In-office 4-5 days/week initially, then potential for 1 remote day/week after onboarding (3-4 months)
Key Responsibilities:
Finance & Accounting:
+ Supervise Controller and oversee all financial functions, including reporting and profitability analysis.
+ Manage cash flow, billing, collections, and payroll operations.
+ Oversee 401(k) and profit-sharing plans, ensuring compliance.
+ Assist with financial planning, client billing, and proposal preparation.
General Office, HR, Technology & Administration:
+ Oversee hiring, onboarding, and benefits administration (health insurance, 401(k), etc.).
+ Manage staff recruitment and assist with attorney hiring.
+ Supervise administrative support teams, ensuring optimal performance and coverage.
+ Maintain and enhance IT systems, collaborating with external vendors for solutions.
+ Oversee firm insurance policies, risk management, and compliance.
+ Organize firm events, meetings, and maintain vendor relationships.
Requirements
Who We're Looking For:
+ Education & Experience: MS degree in a related field with at least 10 years in law firm administration, including staff management.
+ Firm Size: Experience managing a firm of around 50 employees.
+ Financial Expertise: Strong financial acumen, including reporting and performance analysis.
+ Technology Skills: Proficiency in law practice management software, billing systems, and IT infrastructure.
+ Leadership & Organization: Excellent interpersonal, leadership, and multitasking abilities.
+ Certifications: CLM (Certified Legal Manager) or similar a plus.
+ Industry Knowledge: Familiarity with EPLI insurance billing is a plus (but not required).
