SUMMARY: The fleet accountant is responsible for managing the financial records of Whitsons Culinary Group’s vehicle fleet, including tracking expenses i.e., fuel, maintenance, repairs, and vehicle purchases, ensuring accurate accounting of all fleet-related costs, reconciling invoices, generating reports to analyze fleet performance, and identify cost-saving opportunities; often working closely with the fleet manager to maintain budget compliance and optimize fleet operations. ESSENTIAL FUNCTIONS, RESPONSIBILITIES AND DUTIES: * Coordinate with the accounting department in ensuring all fleet-related expenses, including vehicle lease payments, fuel, maintenance, tolls, and vehicle acquisitions/disposals are accurately recorded in the accounting system. * Review fleet-related invoices, ensuring proper coding before submitting to accounting department for processing. * Maintain accurate records of fleet assets, making sure monthly expenses related to these assets are charged to the correct location. * Developing and monitoring fleet budgets, identifying variances and working closely with the fleet manager to identify potential cost-saving areas and to optimize fleet operations. * Analyzing fleet performance data to identify trends and areas for improvement. * Preparing reports on fuel consumption, maintenance costs, and overall fleet expenses * Ensuring adherence to company accounting policies and relevant regulations related to fleet management. * Implementing and monitoring internal controls to safeguard fleet assets. * Providing financial insights to support decision-making regarding vehicle purchases, maintenance schedules, and disposal strategies. * Manages all driver records ensuring compliance with all FMSCA and other regulatory requirements. * Reviews capital equipment requisitions in line with corporate guidelines and objectives. * Ensures vehicle management systems are effectively utilized. * Meets deadlines for all financial submission dates and corporate directed programs. * Create and implement fleet management program, and related policies and procedures for owned and non-owned vehicles- with safety department. * Manages EZ pass and Wex Fuel cards administrative functions. * Responsible for registering and licensing each vehicle and ensuring that licenses are always up to date. ADDITIONAL DUTIES AND RESPONSIBILITIES: * Performs all other job duties as assigned Payrate: Starting at 60K REQUIRED QUALIFICATIONS AND COMPETENCIES: Education: * Bachelor’s degree preferred Computer Skills: * Must be proficient in all Microsoft Office applications especially Excel and Outlook * Strong excel experience required Other Qualifications, Experience: * Minimum 2 years’ experience in general accounting * Must be organized and be able to multitask * Must possess excellent communication skills * Bilingual Spanish is a plus Required Competencies: * Communication * Effectively write, present and transfer ideas and information for the advancement of individual and company performance. * Customer Focus * Act in the best interest of the customer, both internal and external. * Develops and maintains outside vendor and service provider relationships. * Innovation * Create new ideas, processes, or products which when implemented lead to positive effective change. Must be able to drive his/her own vehicle to other work sites.
