Presbyterian Homes & Services - Optage Meals division is seeking an Fleet Manager for its team.
The Fleet Manager is responsible for managing and overseeing the safe, efficient, and compliant operation of the Optage Meals delivery vehicle fleet. This role ensures that vehicles are well-maintained, drivers are properly trained, and fleet operations effectively support meal delivery services. Additionally, this position provides day-to-day oversight of meal delivery equipment, ensuring proper preventative maintenance, submission of work orders, and coordination of service requests.
REPORTING STRUCTURE
The Engineering and Fleet Manager reports to Optage Meals Director or designee, with a dotted line to the Regional Engineering Manager.
Responsibilities include but are not limited to:
1. Fleet Management:Oversee operations of the Optage Fleet, including vehicle acquisition, maintenance, and disposal. Manages/documents full life-cycle process for each vehicle and determines the timing of vehicle replacement. Works with Optage Meals Home Delivered Meals Director to make decisions regarding fleet acquisitions/purchases.
• Provides regular analysis to Optage Meals Home Delivered Meals Director on fleet expenses and performance reports
• Manage preventative maintenance and repair schedule for Optage Meals Fleet Vehicles as required and keep thorough records for each vehicle. Conducting research on a product or service as well as competitor analyses to negotiate vehicle maintenance contracts to ensure the best pricing.
• Develop policies and procedures to ensure fleet safety, efficiency, and compliance with transportation regulations.
• Ensure vehicle licenses and tabs are renewed timely.
• Oversees the cleanliness of the fleet vehicles as proper representation of Optage/PHS. Keeps records of vehicle utilization, mileage, and all necessary maintenance work and work performed.
• Ensure that the emergency systems are always in safe operating condition; Report any unsafe conditions to the Optage Meals Home Delivered Meals Director.
• Advises of any accidents to the Optage Meals Home Delivered Meals Director as soon as possible using established best practices. Completes and submits accident report/paperwork to the designated stakeholder within 24 hours of incident. Partners with the Optage Meals Home Delivered Meals Director ensuring the assigned vehicle meets the delivery need of the route and size of deliveries. In Partnership with the Delivery Manager, coordinate driver training and ensure adherence to operational guidelines.
2. Engineering and Maintenance Oversight: Collaborate with the Meals Director, Regional Engineers, equipment representatives, contractors, and sales representatives regarding equipment problems, service contracts, and future expansions.
• Establish preventive maintenance schedules to minimize downtime and extend asset life.
• Ensure compliance with safety regulations, equipment and codes, and environmental standards for the Meals work areas.
• Conduct regular inspections of equipment to identify and address potential issues. Ensure maintenance of equipment (boilers and related auxiliary equipment) in safe operation condition at all times
• Coordinate the work and assist with obtaining, maintaining, and updating contracted services related to building, and equipment maintenance. Implement an effective pest control program.
• Coordinate fire and emergency procedure drills according to regulatory requirements.
• Oversee overall organization and cleanliness of the facility including dry storage, coolers, and freezers.
• Preventive Maintenance Program –Implement the established PHS Preventive Maintenance program in collaboration with Regional Engineers. Input all building and grounds equipment into the established program to create and implement a preventive maintenance schedule for all equipment. This program is a part of the overall “5-Week scheduling program” mentioned under Efficient and Effective Services.
MINIMUM QUALIFICATIONS
3+ years of experience in fleet management, facilities maintenance, or a related operational role.Knowledge of DOT regulations, vehicle maintenance, and safety protocols.Willing to obtain a special boiler license. Strong organizational and problem-solving skills with attention to detailAbility to lead teams, coordinate projects, and manage vendor relationships.Proficiency in fleet tracking software and facility management systems.Strong communication skills to collaborate across departments and with external partners.Must possess advanced knowledge related to safety work practices.Excellent interpersonal, communication, and organizational skills.Proficiency with Microsoft Office and other common computer programs.Demonstrated ability to read, write, speak, and understand the English language to communicate with all customers.Demonstrated compatibility with PHS’ mission and operating philosophies Pay Range The estimated starting pay range for this role is $60,000-71,500 per year. This good faith estimate is based upon PHS’s typical starting pay range for this role. Actual pay range depends on many factors including each individual employee’s qualifications and market conditions and is subject to change.
