Flight Communications Center Specialist

Job Description:

Communications Specialists receive, process, and transmit communications utilizing radios, telephone, and computer aided dispatch software (CAD) in accordance with regulations guided by the Federal Aviation Administration (FAA) and Commission on Accreditation of Medial Transport Systems (CAMTS). Communication Specialists (CS) maintain records and communications center-related documentation of air and ground patient transport requests, in addition serves as a liaison between hospitals, public safety, and EMS agencies facilitating patient transport to definitive care.

The Communications Center is a 24 hour operation. This position works 7 days on/7 days off and each shift is 12 hours. Assigned shift will vary and depend on staffing needs.

Job Essentials

Receives incoming patient transport requests in a hospital or pre-hospital settingCoordinates the closest, safest, and most appropriate asset for transport, while following all appropriate guidelines and protocols.Relays navigational information to transport teamsMonitors, records, and tracks air and ground assetsUtilizes flight-following systems, communication equipment, weather reporting systems, and all additional equipment necessary to complete program operations.Responsible for monitoring helipadsObtains necessary patient information, as well as medical information required for transport then disseminates following HIPPA guidelines.Adequately notifies all necessary entities of an asset’s estimated time in route, or estimated time of arrival, for all missions and transports and will arrange for all required services at these destinations.Keeps leaders updated on any program and transport issues upholding safety standardsParticipates in companywide safety and quality assurance practicesFacilitates positive relationships with referring and receiving facilities to ensure a safe, coordinated, and expeditious response for emergency services.Must possess excellent customer service skills and can function calmly under pressure.Demonstrates a clear understanding of policies and protocolsEnsures accuracy and completion of transport documentationIn the event of emergency is proficient in Classic Air’s Emergency Response PlanActively participates in shift briefings and supporting documentationParticipates in continuing education and required recertification


Minimum Qualifications

40 wpm typing speedWorking knowledge of Microsoft Office Suite including word, excel, outlookAbility to perform complex tasks, prioritize multiple requests, and work under pressure to manage patient transport requirements in a fast-paced environmentWillingness to work in a 24/7 environment to including weekends and holidaysAbility to pass the International Association of Medical Transport Communications Specialist certification within 18 months of hire

Preferred Qualifications

High school diploma or equivalentPrior dispatch experience with 911 (public safety), air medical, or EMS agencyExperience working in a clinical setting (MA, CNA, Technician, EMT or Paramedic)Aviation Experience dispatcher or pilot – private or commercialHospital Transfer Center ExperienceMedical and/or aviation terminology

Physical Requirements:

Ongoing need for employee to see and read information, labels, documents, monitors, identify equipment and supplies, and be able to assess customer needs.Frequent interactions with providers, colleagues, customers, patients/clients and visitors that require employee to verbally communicate as well as hear and understand spoken information, needs, and issues quickly and accurately.Manual dexterity of hands and fingers to manipulate complex and delicate supplies and equipment with precision and accuracy. This includes frequent computer use for typing, accessing needed information, etc.For roles requiring driving: Expected to drive a vehicle which requires sitting, seeing and reading signs, traffic signals, and other vehicles.

The hourly range for this position is listed below. Actual hourly rate dependent upon experience. 

$21.20 - $32.26
